About the Role
A heart-centered estate planning law practice is seeking a Client Services Director to support and manage the client experience from initial inquiry through completion. The practice serves diverse families and individuals and focuses on helping clients protect what matters most so they can avoid court, conflict, and confusion. What You Will Be Responsible For
You will serve as the primary point of contact for prospective and current clients, managing intake, communication, and follow-up throughout the entire process. This includes responding to inquiries, scheduling consultations, preparing clients for meetings, and ensuring they feel supported every step of the way.
You will maintain and track all leads and client matters in the firm’s systems, ensuring nothing falls through the cracks. This role requires consistent follow-up, strong organization, and the ability to keep multiple clients moving forward at the same time.
You will also assist with legal document preparation as part of the firm’s workflow, helping ensure that client information is complete and accurately reflected in documents.
Because this is a growing firm, you will be expected to take initiative in improving and building systems. Identifying inefficiencies, creating processes, and contributing to a more organized and scalable operation will be part of your role. This has the potential to grow into an office manager position for the right candidate.
Qualifications
This role requires prior professional office experience and strong organizational and communication skills. The ideal candidate is tech-savvy and comfortable learning systems such as CRM platforms, document tools, and scheduling software.
You should be able to manage multiple priorities, communicate clearly and professionally, and work effectively with clients from diverse backgrounds. A proactive mindset and the ability to take initiative without constant direction are essential. Legal experience is not required, but attention to detail and the ability to work accurately with client information is important.

Work Details
This is a full-time, in-office position in South San Jose. There is some flexibility regarding hours, but we need the most coverage during traditional business hours.
