We are seeking a highly organized and proactive Marketing Project Coordinator to support the Project Management team in planning, coordinating and tracking marketing and creative projects from kickoff through delivery.

The Project Coordinator will work closely with cross functional teams (Account Services, Creative, Digital, Media and Production) to ensure schedules are maintained, resources are aligned, and deliverables are completed accurately and on time.
Success in this role requires strong organizational skills, attention to detail, professional communication, and the ability to confidently follow up with team members to keep projects on track.
Key Responsibilities
Project Coordination:
- Participate in project kickoff meetings and document project requirements, timelines, and next steps
- Build and maintain project schedules and task assignments within the agency project management system
- Monitor project progress and proactively identify timeline risks, bottlenecks or resource conflicts
- Follow up with internal teams to ensure deadlines and commitments are met
- Escalate scheduling concerns or project risks to senior project managers when appropriate
- Support project managers in managing integrated marketing campaigns and creative projects
- Assists with production coordination, vendor communications, and project estimating while developing a deeper understanding of agency operations.
- Learn print, direct mail, promotional product and production workflows
Workflow Management
- Coordinate work across Creative, Digital, Content, and Account Services teams
- Review incoming work against project briefs to ensure completeness before advancing to the next stage
- Route deliverables through review, revision, approval, and production processes
- Maintain accurate project documentation, schedules, and status updates
- Assist with resource allocation and workload tracking across teams
Communication
- Serve as a central point of coordination between internal departments
- Communicate project status, upcoming deadlines, and action items clearly and professionally
- Lead routine project check-ins and status meetings as assigned
Qualifications
Required
- Bachelor's degree or equivalent professional experience
- 1–3 years of experience in project coordination, marketing coordination, account coordination, administrative coordination, or a related role
- Strong organizational and time-management skills
- Ability to manage numerous concurrent projects and shifting priorities
- Excellent written and verbal communication skills
- High attention to detail and follow-through
- Proficiency with Microsoft Office and collaborative work tools
Preferred - But Not Required
- Agency, marketing, advertising, creative, or digital experience
- Experience with project management software such as Workamajig
- Familiarity with creative production, digital marketing, web development or content workflows
