This position supports client management and growth, as well as planning, coordination and execution of executive education programs in the College of Business Administration. The Program Coordinator will assist with professional development program logistics, financial management, communications, scheduling and relationship management with both faculty and clients. Working closely with the Director and Assistant Director, this position ensures the smooth day-to-day operation of executive education offerings, contributing to business development, curriculum delivery, and strategic initiatives that align with the college’s goals.
Duties and Responsibilities
1. Lead end-to-end operational planning and execution for executive education programs, serving as the primary point of contact for program delivery from pre-launch preparation through post-program wrap-up and evaluation.

2. Collaborate with administrative staff to coordinate logistics for program delivery, including venue selection and resource allocation.

3. Direct complex logistics for high-impact program delivery, partnering with faculty, program directors, external vendors, and university stakeholders to select and secure optimal venues, audiovisual/technology resources, instructional materials, and other critical elements that enhance participant experience and program outcomes.

4. Manage program budgets and financial performance, including developing forecasts, monitoring expenditures against approved budgets, analyzing variances, preparing financial reports, and overseeing procurement processes (e.g., invoices, payments, purchase orders, wire transfers, P-card/iExpense reconciliation) to ensure fiscal responsibility and alignment with program goals.

5. Oversee event preparation and execution; proactively identify and mitigate logistical risks to ensure seamless on-site execution for executive-level audiences.

6. Coordinate the development, production, and timely distribution of high-quality program materials, including custom curricula, participant packets, digital resources, name badges, and evaluation tools, ensuring alignment with branding, learning objectives, and faculty requirements.

7. Manage catering and hospitality services strategically, collaborating with vendors to design menus and experiences that meet diverse dietary needs, cultural considerations, and executive standards while optimizing costs and participant satisfaction.

8. Prepare internal and inter-College meeting agendas and minutes, event materials, and presentations.

9. Drive continuous improvement by collecting and analyzing post-program feedback, operational data, and lessons learned to inform future program enhancements and contribute to the Executive Education unit’s strategic objectives.

10. Ensure full compliance with university policies, procedures, and regulatory requirements across all program activities, while proactively identifying opportunities to streamline processes and enhance operational efficiency.

11. Support EMBA program on occasion as needed.
Required Knowledge, Skills and Abilities
High School diploma and a minimum of 3 years of related experience
Data reporting and project coordination experience
Strong organization, time & project management and communication (written, interpersonal & oral) skills
Ability to work independently
Attention to detail
Proficiency with Microsoft Suite (PowerPoint, Excel, Word)
Experience with video conference platforms (e.g., Teams, Zoom)
Preferred Knowledge, Skills and Abilities
Associate’s degree in business, administrative or project support, or related field
