Job Overview
We are seeking an energetic and highly organized Optometry Office Manager to lead our eye care practice. In this pivotal role, you will oversee daily office operations including yet not limited to;
1. Calling annuals daily and coordinating patient services
2. Insurance verification of all vision and medical plans
3. Billing and coding of vision and medical insurance plans
4. Managing staff
5. Pre-testing and specialty testing including, yet not limited to, visual fields, OCT, fundus photos, and tear lab testing
6. Sales of glasses and contact lenses
7. Lab work (finishing)
8. Ensure a smooth and efficient workflow and keeping office clean, neat, orderly and safe
9. Manager office financials
10. Weekly meetings with ownership to ensure success
Your proactive approach will help create a welcoming environment for patients while maintaining high standards of administrative excellence. This position offers an exciting opportunity to combine leadership, organizational skills, and medical office management expertise to support both patient care and practice growth.
Other Duties
- Manage daily office operations, including front desk activities, appointment scheduling, and patient check-in/check-out procedures
- Supervise administrative staff, providing training, guidance, and performance evaluations to foster a motivated team
- Oversee schedule management using multi-line phone systems and calendar tools to optimize patient flow and provider availability
- Handle vendor management tasks such as ordering supplies, maintaining equipment, and coordinating repairs or service calls
- Maintain accurate bookkeeping, payroll processing via QuickBooks, and budgeting to ensure financial health of the practice
- Oversee human resources functions including staff onboarding, training & development, and ensuring compliance with office policies
- Manage medical office procedures such as filing patient records, insurance billing, and ensuring confidentiality in accordance with privacy regulations
- Coordinate special events or community outreach programs related to eye health education or practice promotion
Qualifications
- Proven experience in office management within a medical or healthcare setting, preferably in optometry or ophthalmology practices
- Strong supervisory experience with the ability to lead and develop a team effectively
- Proficiency in QuickBooks for bookkeeping and payroll processing; familiarity with electronic health records (EHR) systems is a plus
- Excellent communication skills with a professional phone etiquette and customer service orientation
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously
- Experience with schedule management tools and multi-line phone systems for efficient front desk operations
- Knowledge of human resources practices including training & development, employee relations, and compliance standards
- Demonstrated ability in vendor management, budgeting, bookkeeping, and office administration tasks
