Job Summary
We are seeking a highly organized, proactive, and detail-oriented Office & Real Estate Operations Manager to oversee the daily operations of our office and assist with our growing real estate activities. The ideal candidate will have a strong background in office administration, client relations, and real estate operations. This role requires excellent communication, multitasking, and problem-solving skills to ensure smooth operations and exceptional support for our team and clients.
ResponsibilitiesOffice Management
- Manage day-to-day office activities to ensure efficient workflow and productivity.
- Supervise and support office staff, fostering a positive and productive work environment.
- Oversee event planning, company meetings, and team functions.
- Maintain accurate financial records for payroll, bookkeeping, budgeting, and vendor management.
- Handle calendar coordination, appointment scheduling, and communication between departments.
- Implement and maintain office policies, procedures, and filing systems.
- Manage front desk operations, including phone systems, correspondence, and client inquiries.
Real Estate Operations
- Create, submit, and update property listings on MLS and marketing platforms.
- Coordinate showings, inspections, and open houses, ensuring a professional client experience.
- Communicate directly with clients, tenants, and property owners to address questions, updates, and concerns.
- Manage property management tasks, including maintenance coordination, lease renewals, and rent tracking.
- Assist with contract preparation, transaction coordination, and documentation for real estate deals.
- Support marketing efforts by maintaining property flyers, social media updates, and digital marketing campaigns.
- Track and follow up on leads, client communications, and deal progress.
Skills & Qualifications
- Proven experience in office management, administration, or operations.
- Prior real estate or property management experience strongly preferred.
- Strong leadership skills with the ability to train and supervise a team.
- Proficiency in QuickBooks, Microsoft Office Suite, and CRM/real estate platforms (e.g., MLS, AppFolio, Buildium, Dotloop).
- Excellent organizational and multitasking abilities with strong attention to detail.
- Exceptional verbal and written communication skills.
- Professional demeanor and customer service–oriented attitude.
- Ability to work independently and handle multiple priorities in a fast-paced environment.
- Familiarity with HR functions such as recruitment, onboarding, and training is a plus.
