About the role
This is an on-site full-time role for a Bookkeeper, located in the New York City Metropolitan Area. The Bookkeeper will be responsible for supporting financial and accounting functions, including managing and organizing financial records, assisting with the preparation of financial statements, handling bookkeeping tasks, and utilizing accounting software. The position will require collaboration with various team members to ensure the accuracy and efficiency of financial processes. You will work closely with our Finance Director and collaborate with the production team on major campaigns for fashion, lifestyle, and entertainment clients such as Netflix, Hulu, Apple, Disney, HBO, and more.
Responsibilities
- Assist with daily accounting functions and ledger maintenance across four separate business entities.
- Ensure all job wraps and final billings are completed accurately within 5–7 business days of project completion.
- Record all revenue and expenses at the time they occur to maintain an accurate view of current cash flow.
- Execute a final financial audit of every project to ensure that target profit margins are met and identify any discrepancies in spend.
- Perform reconciliations of bank accounts, credit cards, and merchant processors to ensure QuickBooks matches our actual bank activity.
- Support month-end and quarterly closing procedures.
- Book and analyze daily entries to ensure transactions are categorized to the appropriate accounts for clear financial visibility.
- Assist in preparation of P&L reports, and summaries for management.
- Enter Amex transactions weekly
- Maintain a "tax-ready" ledger throughout the year, ensuring all documentation is organized for annual tax preparation without the need for a monthly closing cycle.
- Work with internal staff to resolve billing or payment inquiries.
- Contribute to the receivable process by tracking receivables and handling basic collections.
- Assist with special financial projects or research requests as needed by business owner.
- Perform general office administrative and clerical duties as needed.
- Manage all petty cash transactions, including the disbursement, documentation, and entry of cash expenditures into QuickBooks to ensure zero leakage.
- Assist production with releasing payroll for freelancers.
- Assist with the gathering of insurance certificates from subcontractors and vendors.
Qualifications
- Degree in Accounting, Finance, or Business Administration preferred.
- 3 years of bookkeeping or accounting experience
- Previous experience in a production or creative studio environment is highly preferred.
- Proficiency in accounting software (QuickBooks or similar) and Microsoft Excel/Office Suite.
- Strong attention to detail, accuracy, and organizational skills.
- Excellent communication and people skills.
