Position Overview
The Senior Sales Support Specialist plays a critical role in ensuring smooth operational execution for the sales organization. This individual is responsible for managing end-to-end order flow, coordinating inventory and warehouse logistics, producing sales tools and reporting, and providing high-level administrative and operational support to sales reps. This role requires exceptional organization, accuracy, communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Order Management
- Receive, process, and release customer orders with accuracy and timeliness.
- Verify pricing, product availability, and shipping requirements prior to order release.
- Serve as the liaison between sales, warehouse partners, and internal operations teams to ensure all orders flow correctly and on schedule.
- Monitor orders through fulfillment and proactively resolve any delays, discrepancies, or issues.
Inventory & Logistics Coordination
- Track inbound inventory arrivals at warehouses and maintain accurate ETA logs.
- Communicate inventory updates to sales reps and internal stakeholders.
- Coordinate warehouse requests, including sample shipments, re-labels, repacks, and special handling as needed.
- Ensure accurate and timely shipping of samples to customers and sales reps.
Sales Reporting & Tools
- Maintain and distribute an updated status report for the sales team (open orders, inventory ETAs, production updates, etc.).
- Produce recurring sales reports and ad-hoc data pulls for sales reps and management.
- Run and update landed cost sheets, pricing sheets, and margin analysis tools.
- Build and refresh product folders, product information sheets, sell sheets, and related materials as needed.
Operational Support
- Maintain organized digital filing systems, shared drives, and sales resources.
- Support product launches with updated data, documentation, and sales collateral.
- Assist with annual planning tools such as product catalogs, forecasting documents, and pricing updates.
- Troubleshoot issues related to order flow, data, pricing, or product specifications.
Qualifications
- 3–5 years of experience in sales operations, customer service, supply chain coordination, or similar sales support role.
- Strong proficiency with Excel/Sheets (VLOOKUP, pivot tables, formulas), CRM systems, and order-entry/ERP systems.
- Excellent communication skills and comfort working with cross-functional teams.
- High attention to detail, strong organizational skills, and ability to manage multiple tasks simultaneously.
- Proactive problem-solver who can anticipate needs and take ownership of processes.
- Experience working with warehouses, 3PLs, or fulfillment partners.
