SUMMARY
The Employee Resource Assistant is hired by the Vice President for Finance and reports to the Employee Resource Manager. This position is a 12-month; part-time; 20-25 hour per week role.
SCOPE OF RESPONSIBILITY
The Employee Resource Assistant supports semi-monthly payroll processing, maintains employee records in Paycom, assists with Athletic Community Coach seasonal contracts, and provides general administrative support to the Business Office.
Qualifications:ESSENTIAL FUNCTIONS
- Process semi-monthly payroll for both hourly and salaried employees using Paycom.
- Ensure the accuracy of all payroll deductions, including retirement contributions and healthcare premiums.
- Review and approve timesheets for hourly employees in preparation for payroll processing.
- Maintain and update employee information in Paycom, including annual updates to base salaries and stipends.
- Evaluate and recommend enhancements to Paycom features to promote best practices and operational efficiency.
- Provide support during the annual open enrollment process.
- Coordinate with the Athletics Department to onboard seasonal community coaches, prepare seasonal contracts, and maintain stipend tracking spreadsheets.
- Assist with annual leave rollover at the end of each fiscal year.
- Support new employee onboarding and employee offboarding processes.
- Complete employment verifications as requested.
- Prepare and submit annual EEOC and ACA reporting requirements.
- Assist with the annual Workers’ Compensation audit.
- Support the Vice President for Finance with Facilities Use Agreements.
- Perform other Business Office administrative duties as assigned.
QUALIFICATIONS
- Bachelor’s degree required.
- 2-3 years of payroll, HR, or other business office experience preferred; lesser experience may be considered. Experience in a school environment is preferred.
- Proficiency in Paycom software preferred. Ability to work both independently and collaboratively.
- Ability to maintain strict confidentiality of employee and school information at all times.
- Excellent organizational skills required with the ability to be resourceful, multi-task, and handle multiple deadlines at the same time.
- Excellent employee service skills, including the ability to be sympathetic to employee concerns.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and follow-through required.
- Ability to be proactive and handle routine tasks in advance, as well as do whatever it takes to get the job done.
- Excellent knowledge of Microsoft Office Suite, especially Excel and Word.
