Marion Cross School is seeking a dynamic Office Assistant to serve as the face of our school and the central hub of our daily operations. This position also serves as our school registrar, which oversees student registration from start to finish. The ideal candidate will foster a welcoming atmosphere for students, families, staff and community alike. You will be the steady hand ensuring our front office remains secure, efficient, and warm, acting as the primary bridge between our administration and the community we serve.

 

Marion Cross School is a Pre-K-6 school in beautiful Norwich, Vermont. We value outdoor education, critical thinking skills, positive school community, and appreciate the students and families that we serve. Our school has a dedicated PTO and strong community support. This position is full time and year round. Position begins 6/8/2026, open until filled.

 

This position is governed by the Norwich Education Association Union Agreement

This is a school year position with a salary range of $18.55 to $23.74 depending on education and experience.

POSITION TITLE:  OFFICE ASSISTANT (VEA-SS)

General Purpose:

Serves as the face of the school and the central hub for daily operations. This role is dedicated to fostering a welcoming atmosphere for students, families, and staff while maintaining a secure and efficient front office. Core responsibilities include acting as the first point of contact for the school community, facilitating the registration process, maintaining comprehensive school records, ensuring smooth functioning of shared resources and executing diverse tasks as directed by the Principal.

POSITION DUTIES AND RESPONSIBILITIES:

 

General Responsibilities:

  • Greet and screen office visitors following school safety protocols
  • Provide general reception of staff and community including but not limited to answering phones, sorting mail, acting as first point of contact for organization, answering general inquiries
  • Issue temporary and permanent bus passes, communicate dismissal changes as needed
  • Act as point of contact for transportation issues that arise related to arrival and dismissal of students
  • Assist with school mailings, digital and physical
  • Maintain records and logs of:
    • Staff, student and visitor sign in/out
    • Phone Lists 
  • Assist parents with general technology and student information systems (SIS) inquiries
  • Coordinate substitutes (keys, plans/schedules, timesheets, etc.)
  • Maintain office inventory and supplies 
  • Help troubleshoot issues and/or call for service for building copiers
  • Assist and backup office staff as needed and/or at the direction of building administration
  • Attend PowerSchool training as assigned. This includes a weeklong off-site conference. 
  • Performs all duties in a professional and appropriate manner while interacting with students, parents, faculty, administration and co-workers.  Perform other duties and accepts responsibilities as assigned
  • Must comply with all SAU 70 District policy and building / department rules, procedures, practices and objectives

Registration:

  • Main contact for families to assist with registration and updates
  • Generate student data reports as needed, including state and federal reports
  • Responsible for follow through with student registration from enrollment to attendance
  • Verify all residencies

Student Information System (SIS)/File Management:

  • Maintain cumulative files and digital student records
  • Prepare accurate data in PowerSchool fields
  • Assign Vermont records for perm number
  • Initiate state reporting according to prescribed timeline
  • Communicate with SAU regarding enrollment totals each month

    MINIMUM QUALIFICATIONS:

Education and Experience:

  • High School Graduate with at least one to three years experience in office setting
  • Expertise in computer applications (Microsoft Office, Google Apps)
  • Personable and outgoing with ability to work well with students, staff ,and the community 

 

Necessary Knowledge, Skills and Abilities:

  • Ability to communicate with tact, discretion and diplomacy, and with a high level of professionalism and confidentiality as outlined by FERPA
  • Ability to communicate courteously, efficiently and effectively with a variety of individuals, including students, faculty, administrators, parents, and representatives of outside organizations. 
  • Ability to work cooperatively and effectively with peers, supervisors, parents, and outside agencies
  • Ability to handle peak pressure times during the school year
  • Flexible, timely, reliable, organized, and able to multitask as needed
  • Able to prioritize projects
