Extension Program Assistant (Possible Contract-To-Hire) – Marion County Extension Services

Location: Marion County Extension Services – 2232 NE Jacksonville Rd, Ocala, FL 34470
Assignment Length: 5 Months w/ possible contract-to-hire
Work Schedule: Monday – Friday; 8:00 AM – 5:00 PM
Pay Rate: $19.00 per hour
*Required: Must be able to clear pre-employment background, drug test; Must possess a valid and active w/ relatively clean driving record*


JOB SUMMARY
Responsible for supporting work in the County Extension Program Development. Responsibilities include providing administrative support for staff, recordkeeping, event coordination, marketing, fundraising, seeking out grants and sponsorships, conducting educational Special Interest programs in school classrooms, and responding to citizens seeking information about programs.

ESSENTIAL FUNCTIONS
  • Serves as a main point of contact providing excellent customer service to members of the general public and other County employees. Oversees and updates lists, organizes mailings, and manages data entry tasks.
  • Manages calendars, composes correspondence, spreadsheets, and data entry as needed.
  • Update or support marketing efforts, including website management, social media, and printing of materials, in accordance with County and the University of Florida guidelines.
  • Assists in organizing or aiding events.
  • Gathers information, researches, and preps teaching materials for programming with the direction of faculty and/or staff.
  • Communicates with the general public and community, interested in education and development relevant to the program assignment areas.
  • Provide direct support to faculty, management staff, and volunteers to coordinate specific office support tasks. Responsible for financial accountability, including the documentation, and reporting using appropriate computerized systems and programs.
  • Implements the organization’s guiding principles and core values.
  • Performs other related job duties as assigned.

SUPERVISION
This position has no supervisory responsibilities.

QUALIFICATIONS
Education and Experience.
High school diploma or equivalent; and six (6) months’ experience.

Licenses or Certifications
Possession of a valid, State of Florida driver’s license.

  • Ability to read and interpret documents, such as safety rules, operating and maintenance instructions, and procedure manuals.

  • Knowledge of customer service concepts and techniques; ability to meet or exceed customer needs and expectations, and provide excellent customer service in a direct or indirect manner.

  • Understanding the necessity and value of teamwork; ability to work effectively as part of a team.
  • Ability to effectively present information and respond to questions from groups of clients, citizens, customers, students, and the general public.
  • Ability to clearly communicate directions to the general public and volunteers.
  • Ability to calculate sales tax and discounts.
  • Ability to explain records and procedures to others such as lead workers and new volunteers.
  • Intermediate-level computer skills required, including keyboarding, basic system operations, file management, and the ability to print and manage documents across multiple software platforms.
  • Ability to use standard office equipment, including telephones, printers, copiers, and scanners.
  • Skills in the interpretation and application of business English, grammar, spelling, diction, styles, and punctuation.
  • Ability to plan, organize, and meet multiple deadlines.
  • Ability to remain calm in stressful situations in an office environment where there is a constant flow of citizens with various requests and concerns.
  • Personal contact with other unit employees, employees of other County departments, citizens, and customers of the department.

PHYSICAL DEMANDS
The work is medium work, which requires exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 20 pounds of force constantly to move objects. While performing the duties of this job, the employee will occasionally be required to use hands to finger, handle, or feel, reach with hands and arms; will regularly be required to stand, walk, and sit; and will frequently be required to talk and hear.

WORK ENVIRONMENT
Work is performed primarily in an indoor environment with limited exposure to adverse environmental conditions. While performing the duties of this job, the employee will occasionally be required to work in wet or humid conditions and to be exposed to toxic or caustic chemicals and outdoor weather conditions.
