Job Description Summary
This Provider Onboarding Specialist works collaboratively with the Executive Director of Physician Development, Director of Medical Staff Office, and MarinHealth Medical Network leaders, as well as other key stakeholders inside and outside the organization to establish a proactive recruitment and retention program that supports a best-in-class experience for clinicians. This will include developing best practices, coordinating physician and advanced practitioner recruitment efforts to support the strategic initiative growth of MarinHealth, efforts to enhance candidates’ experience, coordinating site visits, customer service, efficiency in operations, and full support during the onboarding process. This person will work directly with physicians and advanced practitioners, being their primary contact as they are recruited and throughout the entire onboarding process, serving as the main contact for not only the provider but for all departments involved in the successful recruitment and onboarding of the provider.
The Specialist responsibilities require critical and independent thinking skills to ensure an excellent candidate experience from initial contact through the start date. The functions may include pre-boarding, new hire processing, accounts payable processing, coordinating employment agreements, coordinating travel arrangements, processing of candidates reimbursements by MarinHealth and regulatory guidelines, coordinating site visits, maintaining candidate activity and status updates in the system and with key stakeholders, applicable reference checks, coordinating the onboarding of the provider executing on the onboarding timeline while coordinating with various departments. Duties may also include working across the organization and with other organizations on credentialing, payor enrollment processes, and coordination with marketing and communications. Specifically, the position works primarily independently to oversee aspects of physician recruitment and onboarding, as well as the support of physician development services and initiatives, including working in close collaboration with marketing, medical staff services and MHMN onboarding liaison to maintain accurate physician data, online presence and communication. Also performs some administrative tasks.

Essential Functions And Responsibilities

- Assists Executive Director of Physician Development with the implementation of tactical initiatives that follow strategic priorities set out by leadership of MarinHealth (MH)
- Coordinates with the Executive Director of Physician Development to prepare, gain approval for and maintain accurate open recruitment profiles, and initiate the recruitment search, including coordination with search firms (permanent and locums), clinic/s, contracting, and other key stakeholders. Works closely with HR to collaborate on searches and onboarding for Advanced Practitioners.
- Maintains activity for all provider candidates (physicians and APPs) including status updates in the system and with key stakeholders
- Coordinates exceptional site visits to incoming candidate’s system-wide, including visit itineraries through coordination with stakeholders. Manages their expenses by accurately submitting for reimbursement with supporting documentation to ensure compliance with MH policy and regulatory guidelines. Includes management of post-interview assessments and distribution of information.
- Manages the pre-boarding process which may include offer letters/agreements, approvals, initial screening and background checks, highlighting gaps in employment history, coordination with operations team and providers for equipment and staffing, and credentialing with various organizations including UCSF and other facilities. Facilitates integration of information across all parties related to the pre-boarding of the candidate system-wide. Engages appropriate stakeholders on the status of process credentialing and position acceptance, ensuring all parties are aware of status and associated responsibilities.
- Leads the on-boarding process for all providers (physicians and APPs) and continually works to identify process improvements. The onboarding process includes working across the organization to coordinate providers first day/week, training needs including Apex and USCF requirements, coordination with clinic manager on patient appointment set up, staffing, facilities coordination on set-up, and clinic process and policy share.
- Communicates regularly with key stakeholders around recruitment and onboarding, including a weekly email update and regular huddle meetings.
- Assists with marketing and communications for physicians, including profiles, newsletters, etc.
- Maintains quality relationships with providers, colleagues and staff
- Develops and presents materials for meetings, site visits and other projects as assigned.
- Represents MH in the community as assigned
- Other duties as assigned
Education:
- High school diploma or General Educational Development (GED) certificate required.
- Bachelor’s degree in business, human resources, or related field preferred
- Minimum three (3) years’ experience in provider onboarding, provider relations or other functions as outlined above. Must possess strong knowledge of recruitment processes and proven success working in a high volume, multi-faceted position that requires exceptional customer service, critical thinking, project management, attention to detail, innovation and multi-tasking. Knowledge of Marin County is preferred.
