Job Summary


The Senior Administrative Assistant provides comprehensive administrative and office support to the Education and Reading Studies Department, serving as a key resource for the department chair, faculty, staff, and students. This position balances executive-level support with department-wide operations, ensuring smooth coordination of scheduling, budgeting, records, and daily office functions.


Working in person at the Southern & Dobson campus, the Senior Administrative Assistant assists with course and facility scheduling, responds to student and faculty inquiries, and supports departmental projects and initiatives. The role is also responsible for monitoring budgets, tracking expenses, processing requisitions, ordering supplies, and coordinating new vendor setups as needed. Additional responsibilities include maintaining accurate departmental records, providing direction to student workers, and supporting office communication tools and webpages.


Essential Functions


30% – Provides comprehensive customer service and administrative support to students, faculty, staff, and visitors; serves as the first point of contact for the department; responds to inquiries regarding faculty schedules, course offerings, and departmental resources; assists students with admissions and enrollment processes; problem-solves daily to keep the department operating smoothly.


25% – Assists the department chair and faculty with administrative and operational functions, including course and facility scheduling, interdepartmental coordination, preparation of reports, and support for specialized accreditation documentation.


20% – Monitors departmental budget and expenditures; tracks expenses; processes requisitions, supply orders, and vendor setups; prepares financial forms and reports in compliance with district policies and procedures.


10% – Provides administrative support for department events, programs, and meetings; coordinates logistics, prepares materials, and ensures effective communication with faculty, staff, students, and external partners.


10% – Utilizes appropriate software and technology (such as SIS, FMS, HCM, 25Live, Canvas, Google Workspace, and other college systems) to complete position responsibilities; may provide direction or training to student workers if assigned.


5% – Maintains departmental records, databases, and files in coordination with department members; ensures accuracy, confidentiality, and compliance with institutional standards.


Minimum Qualifications


Associate’s Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.


OR


An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.


Desired Qualifications


A. Three (3) or more years of progressively responsible administrative or secretarial experience in an educational institution providing support to multiple stakeholders.
B. Proficiency with institutional systems, including SIS (student information), HCM (human capital management), FMS (financial management), 25Live (scheduling), Canvas, and Google Workspace (Docs, Sheets, Slides, Drive, Calendar).
C. Experience monitoring budgets, processing requisitions, ordering supplies, and coordinating with vendors.
D. Experience compiling, assembling, and generating accurate reports, forms, and records.
E. Experience managing confidential information and maintaining accurate and organized records in compliance with institutional policies.
F. Strong written communication skills.


Special Working Conditions


May be required to sit for a prolonged period of time, viewing a computer monitor.
