Job Title: Regulatory Compliance Coordinator

Summary:

Serves as the primary coordinator for regulatory compliance, audit readiness, quality systems, document control, customer compliance programs, and supplier documentation activities. Provides technical leadership, training, and compliance support throughout the organization while serving as a backup to the Quality Manager. Supports continuous improvement of food safety, quality, and regulatory programs through auditing, compliance oversight, training, record management, and cross-functional collaboration. Other tasks and responsibilities may be assigned as needed by the Quality Manager.

Accountability # 1 – (50%) Quality, Regulatory Compliance & Audit Readiness:

  • Supports and promotes a positive food safety and quality culture through training, auditing, communication, and continuous improvement activities.
  • Responsible for Quality System and Compliance Document Control, including maintenance of SOPs, forms, specifications, policies, and internal and customer documents.
  • Maintains organized, audit-ready records and documentation for customer, regulatory, certification, supplier, and internal requirements.
  • Coordinates and leads the Internal Audit Program, including scheduling audits, documenting findings, issuing corrective actions, tracking completion, and verifying effectiveness.
  • Participates in plant, customer, regulatory, certification, and GFSI audits and supports audit preparation and audit readiness activities as assigned.
  • Utilizes RedZone to monitor compliance activities, assign corrective actions, maintain records, and support audit and compliance activities.
  • Monitors compliance with GMPs, food safety programs, quality systems, and company policies throughout the facility and follows up on identified concerns as needed.
  • Examines documents, records, and processes to verify compliance with customer, regulatory, certification, and company requirements.
  • Coordinates and follows up on corrective actions, audit findings, and recurring compliance concerns to ensure timely resolution and effectiveness.
  • Identifies, communicates, and assists in resolution of food safety hazards, unsanitary conditions, GMP violations, documentation deficiencies, and regulatory or compliance concerns and works with departments to ensure appropriate corrective actions are implemented.
  • Coordinates customer questionnaires, customer compliance portals, certification support activities, and regulatory documentation requests as assigned.
  • Works with Customer Service, Scheduling, and other departments to provide quality, regulatory, and compliance information as needed.
  • Maintains supplier documentation files and approved supplier records, requests and tracks required supplier documentation, and escalates deficiencies to the Quality Manager for review.
  • Assists with labeling activities, including revisions, new item setup, and customer-specific requirements as needed.
  • Compiles, analyzes, and trends quality and compliance data and prepares reports as assigned.
  • Assists with mock recalls, traceability exercises, and mass balance activities by gathering and organizing required records and documentation.
  • Maintains understanding of FDA, USDA, WDA, GFSI, and other applicable regulatory requirements and applies risk-based decision making to compliance activities.
  • Works with the Quality Manager to support continuous improvement of quality, food safety, and compliance systems and promote consistency across shifts and departments.
  • Supports fresh fruit packing and Olson startup activities including quality coordination, documentation review, operational readiness, and customer requirement support.
  • Supports quality and compliance activities related to Mariani Cold Storage including audit readiness, documentation review, and coordination activities as needed.
  • Serves as a technical and compliance resource to departments throughout the organization and provides backup support to the Quality Manager for audits, customer inquiries, regulatory compliance activities, and quality systems management as needed.

Accountability # 2 – (40%) Communication, Training & Leadership Support:

  • Keeps the Quality Manager informed of significant issues, compliance concerns, audit findings, regulatory developments, and other matters affecting quality and food safety systems.
  • Leads training, guidance, and compliance support activities for employees, supervisors, and management regarding quality, food safety, GMPs, allergen control, food defense awareness, recordkeeping, quality systems, regulatory requirements, and other compliance programs as assigned.
  • Assists with the implementation of new procedures, forms, systems, and compliance initiatives and promotes compliance through training, auditing, communication, and follow-up activities.
  • Presents technical information, procedures, audit findings, compliance updates, and recommendations to employees, management, and cross-functional teams as needed.
  • Participates in Lean Six Sigma, continuous improvement, and other operational excellence initiatives.
  • Supports shutdown cleans and other quality department activities as needed.
  • Works under the philosophy of one cross-functional operational team rather than department silos and collaborates effectively across departments to support quality, food safety, and compliance objectives.
  • Provides backup support to quality, food safety, regulatory, and compliance functions, including after-hours, weekend, and escalation support as needed.
  • Effectively utilizes MS Word, Excel, Outlook, and other business systems required to perform assigned responsibilities.

Specific vision abilities required by this job include close vision, peripheral vision, depth perception and ability to adjust focus.
  • The typical workday is 8 to 10 hours with additional hours as needed based on job requirements.

Requirements:

  • 2-4 years’ experience working in GFSI-Certified facility and Quality-related field.
  • PCQI or HACCP certification preferred
  • Strong attention to detail, organizational skills, and critical thinking skills.
  • Ability to read and interpret technical documents and explain requirements in practical terms.
  • Strong verbal and written communication skills with the ability to prepare reports, correspondence, and effectively communicate with customers, employees, peers, auditors, and management.
  • Demonstrated problem-solving, root cause analysis, and risk-based decision-making skills.
  • Working knowledge of food safety, quality, customer, regulatory, and GFSI requirements applicable to food manufacturing.
  • Effectively use a personal computer/tablet and associated applications.
  • Ability to manage multiple priorities and focus under stressful situations.
