Responsibilities

 

As a Crewing Specialist, you will play a critical role in supporting the preparation and onboarding of crew by ensuring all employment and travel documentation is complete, accurate, and compliant. Your focus will primarily be on document verification and coordination, contributing to a smooth and efficient workforce mobilization process.

 

In this role, you will work closely with the Document Checking team to review, validate, and track a high volume of candidate documentation. This includes ensuring that all required travel, identification, and employment documents meet company standards and regulatory requirements ahead of deployment schedules.

 

You will also support the Recruitment team by assisting with candidate processing during peak hiring periods. This collaboration is essential as we prepare for the launch of Beachcomber, where timely document clearance and accurate record‑keeping are critical to meeting operational timelines.

 

You will also maintain accurate employee movement records, monitor rotation timelines, and proactively adjust travel plans when operational changes arise. Diligence, adaptability, and strong coordination skills are essential, as you will be responsible for resolving any travel‑related issues quickly to keep the operation running smoothly. Additionally, you will stay current with system updates and contribute to improving tools and processes that enhance the efficiency and accuracy of workforce and travel planning.

 

Essential Functions:

  • Document Verification & Compliance: Review, verify, and validate employment, identification, travel, and compliance documents to ensure accuracy, completeness, and adherence to company standards and regulatory requirements prior to onboarding and deployment.
  • Candidate Document Processing: Manage and process a high volume of candidate documentation, tracking status and ensuring all required materials are received and approved within established timelines.
  • System & Record Management: Maintain accurate and up‑to‑date records within internal systems and databases, ensuring data integrity, confidentiality, and compliance with privacy guidelines. 
  • Recruitment Team Support: Partner with the Recruitment team to support candidate onboarding during peak hiring periods, including preparation for the launch of Beachcomber
  • Cross‑Functional Coordination: Collaborate closely with the Document Checking and Crewing teams to align document clearance with deployment schedules and workforce planning needs.
  • Collaboration With Shipboard & Shoreside Teams: Partner with shipboard leaders, shoreside management, onboarding teams, and the travel department to ensure smooth crew movement, timely sign‑ons/sign‑offs, and full staffing coverage for vessel operations.
  • Recordkeeping & Documentation: Maintain accurate employee movement records, travel confirmations, deployment schedules, and rotation histories. Ensure documentation aligns with compliance standards and supports seamless onboarding and offboarding processes.
  • Issue Resolution & Travel Support: Troubleshoot travel‑related issues such as missed flights, booking errors, itinerary changes, and unexpected travel obstacles. Provide timely solutions to minimize operational impact and ensure crew members reach their assignments efficiently.
  • Continuous Process Improvement: Analyze travel patterns, scheduling challenges, and workforce trends to recommend enhancements that optimize rotation efficiency, reduce costs, and improve crew experience.
Qualifications:

Qualifications:

  • Associate’s degree required
  • 3 years of customer service and/or logistical experience

Experience:

  • Minimum of 2 years’ experience in

Knowledge, Skills, and Abilities:

  • Strong analytical and problem-solving skills with the ability to interpret complex data and make data-driven decisions. 
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments and influence stakeholders at all levels. 
  • Proficiency in data analysis tools, such as Excel. Experience with workforce management software and scheduling systems is a plus.
  • Demonstrated ability to work collaboratively with team members in a demanding, high-stress environment. 
  • Proficiency with Microsoft Outlook, Word & Excel.

Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.

Travel: No travel

Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.

This position is classified as “in-office.” As an in-office role, it requires employees to work from the MVAS office in Orlando, Florida Monday through Friday each week. Candidates must be located in (or willing to relocate to) the Orlando area. This position also requires work in the evenings and weekends as necessary.

    • Vacation Time – All full-time employees at the below the Director level start with 15 days/year; Director and above level have Discretionary Time Off, which for Directors is generally 15 days and for VPs and above 21 days.  Part-time with benefits employees receive time off based on the number of hours they work.
