Position Summary

The Executive Office Manager plays a critical role within People and Culture in ensuring MarCom Group’s workplace operations and leadership support run seamlessly. This role bridges workplace experience, operational excellence, and executive support, creating the conditions for leaders and teams to do their best work. Serving as both the steward of the physical and virtual workplace and a trusted operational partner to leadership, this role ensures that the day‑to‑day mechanics of the office, meetings, and executive coordination are handled with precision, discretion, and care—so leaders can focus on strategy, decision‑making, and people.

Key Responsibilities

Workplace Operations & Experience

  • Own the day‑to‑day management of the physical workplace, ensuring it is welcoming, functional, secure, and aligned with MarCom’s culture and values.
  • Oversee office logistics, supplies, vendor relationships, facilities coordination, and space planning.
  • Ensure the virtual workplace environment supports collaboration, inclusion, and employee well‑being.
  • Maintain and update office-related policies, guidelines, and reference materials.

Meeting & Operational Excellence

  • Manage leadership and manager meeting logistics, including scheduling, space coordination, materials prep, and follow‑through.
  • Anticipate operational needs and proactively resolve issues before they disrupt leaders or teams.
  • Support company-wide initiatives, events and culture building efforts.

Executive Support

  • Provide high‑trust administrative and operational support to designated executives.
  • Manage calendars, scheduling, travel coordination, and meeting preparation with a strong eye toward priorities and tradeoffs.
  • Handle sensitive information with discretion, professionalism, and sound judgment.

Required

Skills & Qualifications

  • Proven experience in office management, facilities coordination, or workplace operations.
  • Strong understanding of organizational culture and employee experience.
  • Excellent communication and project management skills.
  • Ability to work cross-functionally with HR, leadership, and operations teams.
  • Experience in coordinating travel and leadership offsites.
  • Ability to coordinate schedules and calendars.
