Position Summary
We are seeking a highly organized, proactive and discreet Executive Assistant who will also provide select Personal Assistant support to a dynamic entrepreneur. The CEO is a multi-unit, multi-brand franchisee overseeing multiple operating brands and leadership teams.
This role is ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise and can seamlessly switch between business priorities and limited personal tasks. You will act as a trusted partner and gatekeeper.
Executive Assistant Duties
- Manage and maintain the executive’s email inbox across multiple businesses, ensuring timely responses and follow-up
- Manage calendar across multiple businesses, including scheduling meetings, travel, and franchise-related commitments
- Serve as a primary point of contact and gatekeeper for internal leaders, franchise partners, vendors, and external stakeholders
- Coordinate meetings, prepare agendas, take notes, and follow up on action items
- Draft, edit, and manage correspondence, presentations, and reports
- Track priorities, deadlines, and ongoing projects across multiple entities
- Handle confidential information with the highest level of discretion
- Support special projects, research, and ad hoc initiatives as needed
Personal Assistant Duties (Limited but Ongoing)
- Coordinate personal travel, appointments, and scheduling
- Assist with personal errands, reservations, and household/vendor coordination as requested
- Manage select personal correspondence and administrative tasks
- Help organize personal commitments to ensure balance with business priorities
Required Qualifications
- 3 years of experience as an Executive Assistant or similar high-level administrative role
- Experience supporting an entrepreneur, founder, or C-suite executive preferred
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- High level of professionalism, discretion, and trustworthiness
- Ability to manage multiple priorities across different businesses simultaneously
- Tech-savvy with proficiency in Google Workspace, Microsoft Office, and scheduling tools
- Comfortable working independently and making sound judgment calls
Preferred Qualifications
- Experience in franchising, multi-unit operations, or multi-brand organizations
- Experience in a hybrid EA/PA role
- Familiarity with project management tools (Asana, Microsoft Teams)
- Flexible availability when business needs require
