General Overview
Coordinates production schedule and provides support to sales and marketing through customer communication. Reports to the operations manager.
Specialized knowledge, skills, or experience:
- Working knowledge of CRMs and Google Office
- Excellent organizational skills
- Strong communication with customers and team members.
- Ability to work with a team, including adapt to other people and styles
- Ability to maintain multiple on-going tasks and projects
Duties
1. Communication
- Answer phones, organize customer information, distribute messages.
- Respond and follow through on emails.
- Respond to telephone inquiries relating to the scheduling of estimates
- Represent the company in a professional manner.
- Assist customers and prospective customers with their inquiries or concerns; take ownership for customer problem resolution.
- Make calls to customers for foremen and sales team as requested.
2. Office Administration
- General office duties: filing, copying, faxing, mailing employment applications, etc.
- Keep the front office organized.
- Compose and type correspondence when necessary.
- Help to organize events and team building.
- Order office supplies/equipment
- Maintain organized computer files so they are easily accessible
- Ready to step up to the plate whenever needed
3. Marketing and Sales Administration
- Support Neighborhood Marketing Coordinator with event organization and team communication.
- Schedule estimates and confirm estimate appointments
- Follow-up on open estimates as needed
4. Job Administration
- Set up scopes for upcoming jobs. Get deposits and colors.
- Schedules customer and vendor appointments.
- Send, collect and organize customer details for production managers.
- Update “Job Board” and scheduling systems as needed
- Create invoice in QB
Pay: $45,000.00 - $55,000.00 per year
