Essential Duties & Responsibilities:
Customer Service & Order Management
- Enter customer orders into AS400/VAI system and generate pick tickets.
- Communicate order details with production and shipping teams.
- Invoice customers upon shipment completion and provide draft documents (invoices, packing lists, certificates, bills of lading) for review.
- Address customer inquiries and resolve documentation discrepancies required by importing countries.
Documentation & Compliance
- Review purchase and sales contracts to ensure accuracy and proper formatting.
- Inspect completed shipping documents for correct formatting and data accuracy before providing them to customers.
- Prepare domestic and international shipping documents, including manual invoices, packing lists, no‑wood certificates, veterinary certificates, bills of lading, and verified gross mass statements.
- Submit 16‑4 veterinary certificates to the USDA and coordinate any formatting changes required for export compliance.
Freight Coordination
- Initiate RFQs for export and domestic shipments and follow up with freight brokers and drayage companies.
- Utilize the Freight Broker TMS platform for LTL rate shopping and carrier selection.
- Work with FTL carrier representatives for pricing and booking arrangements.
- Assist with coordinating internal transfers of feather materials with MLF, including confirmation of weights and receipts.
Reporting & Recordkeeping
- Prepare and invoice monthly intra‑company billings (freight, chemicals, feather bags, polybanding).
- Maintain various Excel‑based reports, including:
- Intra‑company Expenses Report
- Shipments in Transit Report
- IDFL Transaction Certificate Tracking Report
- Export Freight Cost Report
- Vendor Contract Receiving Reports
- Shipping Schedule
- Down Inc. Usage Report (budget vs. material usage)
Certification & Compliance Support
- Serve as the primary liaison with IDFL, entering data and managing transaction certificates for RDS and GRS shipments.
- Support Down Inc. with their RDS, GRS, and OCS certificate submissions.
- Contribute to developing more efficient IDFL documentation processes across the Eurasia Group.
Cross‑Functional Support
- Assist Corporate Logistics Manager and Plant Manager with inventory reporting and related requirements.
- Coordinate with material handlers regarding inventory transfers and shipment details.
- Provide backup support during Corporate Logistics Manager absences, including bookings, sales order entry, purchase order entry, and supply ordering.
- Perform additional tasks and special projects as assigned by the Company Director or Management Team.
Job Specifications
- Preferably 3–5 years of office experience; import/export logistics and documentation experience helpful but not required.
- Proficient in Microsoft Office applications.
- High school diploma or equivalent required.
