Accounts Payable Specialist

Position Summary

We are seeking a detail-oriented and organized Accounts Payable Specialist to join our team in the restaurant supply distribution industry. The ideal candidate will have experience managing the full accounts payable process, including invoice processing, purchase order (PO) matching, discrepancy resolution, and tracking purchase orders from creation through final billing. This role requires strong analytical skills, accuracy, and the ability to collaborate with purchasing, receiving, and vendor partners.

Responsibilities

• Process and verify a high volume of vendor invoices while ensuring accuracy and adherence to company policies.
• Perform account reconciliations and general ledger accounting tasks to maintain accurate financial records.
• Perform three-way matching of purchase orders, receiving documents, and vendor invoices.
• Monitor the complete purchase order lifecycle, ensuring transactions flow accurately from PO creation through receipt, invoicing, and final payment.
• Conduct thorough analysis of invoice data, identify discrepancies, and resolve issues efficiently through effective communication with vendors and internal teams.
• Maintain confidentiality of sensitive financial information while handling large volumes of data entry and invoice processing.
• Reconcile vendor statements, perform general ledger reconciliation, and assist with month-end closing activities related to accounts payable.
• Prepare weekly payment runs, including checks, ACH, and electronic payments.
• Monitor and reconcile company credit card activity.

Requirements

• Proven experience in accounting or finance roles with a focus on accounts payable functions.
• Strong understanding of GAAP (Generally Accepted Accounting Principles) and financial compliance standards such as SOX.
• Proficiency with financial software systems including Inform DDI, Netsuite or similar platforms.
• Skilled in using Microsoft Office Suite—particularly Excel—for data analysis, spreadsheet management, and creating complex formulas including XLOOKUP functions.
• Familiarity with accounting concepts such as double entry bookkeeping, journal entries, account reconciliation, and general ledger management.
• Ability to handle confidential information responsibly while managing multiple priorities in a fast-paced environment.
• Excellent attention to detail with strong analysis skills for invoice processing and account reconciliation tasks.

Hours

• Monday - Friday, and 1-2 Saturdays per month.

Pay: From $58,000.00 per year
