The Manteno Community Fire Protection District is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative, financial, and operational support to the Fire Chief and Board of Trustees.
This professional staff position is responsible for a wide range of duties including payroll administration, accounts payable and receivable, personnel records, board meeting preparation, public records management, insurance administration, and general office operations. The successful candidate must be able to work independently, maintain confidentiality, manage competing priorities, and communicate effectively with employees, outside agencies, and members of the public.
Work Schedule· Part-Time: 30 hours per week
· Attendance at monthly Board of Trustees meetings as scheduled by the Board of Trustees is required.
· Additional hours may occasionally be required for audits, year-end financial activities, training, or special projects.
Essential Responsibilities· Process payroll and maintain personnel records.
· Assist with accounts payable and accounts receivable functions.
· Maintain official Fire District records and filing systems.
· Prepare agendas, board packets, meeting minutes, and related correspondence.
· Coordinate employee benefit and insurance information.
· Respond to inquiries from employees, residents, vendors, and partner agencies.
· Assist with budget preparation, auditing activities, and financial reporting.
· Prepare reports, letters, newsletters, contracts, and other documents using Microsoft Office applications.
· Support the day-to-day administrative operations of the Fire District.
Minimum Qualifications· High school diploma or equivalent.
· Minimum five (5) years of administrative office experience.
· Strong proficiency in Microsoft Word, Excel, Outlook, and other Microsoft Office applications.
· Excellent organizational, communication, and customer service skills.
· Ability to handle confidential information and work independently.
· Prior municipal, governmental, accounting, payroll, human resources, or fire service experience is preferred.
Compensation· Hourly Rate: DOQ
