Our client, an innovative and growing life sciences organization, is seeking an Executive Assistant to support multiple senior leaders while also assisting with day-to-day office operations. This individual will be responsible for managing complex calendars, coordinating travel, processing expense reports, and helping to ensure the office runs smoothly. The role will also provide support on special projects and company initiatives as needed.
The ideal candidate is highly organized, proactive, and adaptable, with the ability to anticipate needs and manage competing priorities in a fast-paced environment. This person should be comfortable working independently while serving as a key resource for both executives and employees across the organization.

- Provide administrative support to senior leadership, including calendar management, domestic and international travel coordination, expense reporting, and meeting logistics.
- Welcome and assist visitors, directing them to the appropriate contacts.
- Coordinate company events, meetings, and employee engagement activities.
- Assist with office operations, including furniture coordination, office moves, and workspace planning.
- Maintain inventory of office supplies, equipment, and related resources.
- Support office budgeting activities, including expense tracking and ledger maintenance.
- Partner with recruiting teams to coordinate interviews, manage candidate scheduling, and collect interview feedback.
- Assist with onboarding activities, including new hire orientation, equipment coordination, access setup, and employment documentation.
- Participate in workplace safety initiatives and support compliance efforts.
- Coordinate and track vendor and contract requests.
- Provide additional administrative and operational support as needed.
- 5–8 years of administrative or executive support experience with a demonstrated history of increased responsibility.
- Ability to manage multiple priorities while remaining flexible in a changing environment.
- Strong discretion and experience handling confidential information.
- Excellent organizational, communication, and problem-solving skills.
- Ability to work independently and collaborate effectively across teams.
- Interest in taking on new responsibilities and contributing beyond core job functions.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- $130,000 range
