Job Overview
We are seeking an experienced Lead Office Manager to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing excellent customer support, overseeing all administrative duties are in compliance with legal and ethical standards. We would love to bring on another imperative member to our team, who can make sure any assistants hired further on, are trained properly, provide administrative related tasks, training to newly hired clinical staff, as MAP continyes to grow. This individual work with side by side CEO/lead Psychologust to ensure MAP continues to provide the utmost competent mental health services, including therapy, assessments and evaluations of varying kinds, and timely scheduling of all incoming referrals.
Previous experience with insurance verification and billing is a preferred and required skill; if some things are unknown, CEO will ensure adequate training is provided.
Manager must be comfortable assuming a supervisory/lead role of ALL staff, and communicate closely with CEO to ensure our services are up to par with CEO and Manager‘s expectation. This position requires strong communication skills, attention to detail, and proficiency in office software and EMR MAP utilizes. Insurance billing and eligibility and verification, understanding of the current CA procedures is imperative! Will participate in regular of staff performance and provide feedback. This job is expected to be on 90-day probation period, in hopes of becoming a career for the candidate
Responsibilities
- Provide exceptional customer support by greeting visitors and answering inquiries at the front desk.
- Manage calendar scheduling and appointment bookings for clinical staf, psychiatric staff, and assisting the growth of our practice.
- Perform data entry tasks accurately and efficiently, maintaining organized records.
- Assist with clerical duties such as filing, photocopying, and preparing documents.
- Support the team in managing office supplies and inventory.
- Collaborate with colleagues to ensure effective communication and workflow within the office.
- Utilize office software tools and programs for document creation, collaboration, and communication.
- Additional duties as assigned by CEO
Experience
- Previous experience in office management, specifically healthcare is required: at least 2 years.
- Familiarity with customer support practices is highly valued.
- Experience as an office receptionist/medical billing or in a similar role is a plus.
- Proficiency in data entry and calendar management is essential.
- Strong computer and documentation skills
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Ability to provide additional and are willing to be try to grow part of the management team.
- Position may be available than the four weeks as indicated.
