Program CoordinatorPosition Overview

The Program Coordinator serves as the operational leader of the clinic, overseeing the daily operations, compliance, staff management, hiring, and program development of the agency's behavioral health and autism services. This role is responsible for ensuring high-quality service delivery, supporting staff, maintaining regulatory compliance, expanding community partnerships, and leading outreach efforts to enroll new patients.

The ideal candidate is an organized, proactive leader with strong communication, management, and relationship-building skills who is passionate about improving access to behavioral health services for children and families.

Primary ResponsibilitiesOperations & Program Management

  • Oversee the day-to-day operations of the clinic.
  • Ensure programs operate efficiently while maintaining high-quality services.
  • Develop, implement, and improve clinic programs and operational processes.
  • Monitor program performance and identify opportunities for improvement.
  • Coordinate resources to ensure smooth daily operations.

Compliance & Quality Assurance

  • Ensure compliance with state, federal, and payer regulations.
  • Maintain agency policies, procedures, and documentation standards.
  • Prepare for audits, licensing reviews, and quality assurance activities.
  • Monitor program performance and implement corrective actions when needed.
  • Promote continuous quality improvement throughout the organization.

Staff Management & Human Resources

  • Lead recruitment, hiring, onboarding, and orientation of new employees.
  • Supervise administrative and support staff.
  • Coordinate staff schedules and ensure adequate staffing coverage.
  • Support employee training, coaching, and professional development.
  • Conduct performance evaluations and address employee concerns.
  • Foster a positive, collaborative workplace culture.

Community Outreach & Patient Enrollment

  • Develop relationships with physicians, schools, counties, case managers, and community organizations.
  • Represent the clinic at community events, resource fairs, and networking opportunities.
  • Coordinate outreach initiatives to increase awareness of clinic services.
  • Assist prospective families through the intake and enrollment process.
  • Maintain referral relationships and expand community partnerships.
  • Track outreach activities and referral outcomes.

Marketing & Community Engagement

  • Assist with marketing initiatives to promote clinic services.
  • Coordinate educational events and community presentations.
  • Manage outreach materials and promotional campaigns.
  • Support website and social media updates as needed.
  • Increase community awareness of autism and behavioral health services.

Program Development

  • Identify community needs and develop new programs to meet those needs.
  • Evaluate program effectiveness using participation and outcome data.
  • Collaborate with leadership on strategic planning and organizational growth.
  • Assist with grant opportunities, partnerships, and community initiatives.

Administrative Responsibilities

  • Prepare reports and maintain accurate program records.
  • Track operational metrics and key performance indicators.
  • Assist with budgeting and resource planning.
  • Coordinate meetings and maintain project timelines.
  • Maintain confidential client and organizational information.

QualificationsRequired

  • Bachelor's degree in Healthcare Administration, Business Administration, Social Work, Psychology, Public Health, Human Services, or a related field (or equivalent experience).
  • Experience managing operations in a healthcare, behavioral health, or human services setting.
  • Experience supervising staff and leading teams.
  • Strong organizational and project management skills.
  • Excellent verbal and written communication skills.
  • Ability to build relationships with community partners and stakeholders.
  • Proficiency with Microsoft Office and electronic health record systems.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred

  • Experience working in behavioral health, autism services, ABA therapy, or community mental health.
  • Knowledge of healthcare compliance, Medicaid, and state regulations.
  • Experience with recruiting and human resources.
  • Experience with community outreach, referral development, or patient enrollment.
  • Grant writing or program development experience.
  • Bilingual in English and another language (Spanish, Somali, or Arabic preferred).

Physical Requirements

  • Ability to travel within the community for meetings and outreach events.
  • Ability to sit, stand, and walk for extended periods.

Work Environment

  • Primarily clinic-based with regular community outreach activities.
  • Occasional evening or weekend events may be required.
  • Fast-paced, collaborative behavioral health environment focused on serving children with autism and their families.

Pay: $49,544.74 - $67,000.00 per year
