Administrative Assistant for Athletics and Activities Director

Manitowoc Lincoln is seeking a highly organized and energetic Athletics & Activities Administrative Assistant to support the smooth operation of our athletic programs and extracurricular activities. This role serves as the primary point of contact for students, parents, staff, and external partners, ensuring efficient coordination, communication, and administrative support across all programs.

Key Responsibilities

  • Assists student, staff and visitors when entering office area
  • Makes and receives telephone calls, takes messages, routes calls
  • Maintains school records and files for building as per the directions of the administrator
  • Processes letters, memos, contracts for athletic officials, team rosters, and bus company schedules.
  • Reviews student WIAA cards for appropriate information regarding physicals, insurance and emergency information and updates coaching staff accordingly
  • Coordinates bus transportation for athletic trips; sends schedules to coaches to obtain times for pick-up, departure and arrival for athletes and apprises the bus company of the schedule as well as the Athletic Director and coaches for LHS, Washington & Wilson Middle Schools.
  • Processes programs for home athletic games, meets and tournaments
  • Works with attendance office to ensure all student/participant attendance is marked appropriately
  • Prepares athletic awards and athletic and activities recognition events
  • Prepares and processes accident reports and keeps files for student/staff accident reports
  • Assists finance assistant with the sale of tickets
  • Prepares data for WIAA forms relative to student participation as well as end of the year forms for student participation in dramatics, cheerleading, and other organized teams as assigned
  • Files and maintains general office records as assigned
  • Operates office equipment in a proper and responsible manner
  • Attends to the safety and well being of all students and staff
  • Assists with facilities requests
  • Assists with worker sign-up for events and submits payment to the Business Office
  • Assists with securing officials and assigning contracts. Sends official list to Business Office
  • Updates Athletic website and social media accounts
  • Keeps inventory of Athletic Awards
  • Schedules and organizes Picture Day
  • Tracks three sport athletes
  • Organizes request purchase orders for athletic event fees, transportation and officials
  • Member of the LHS Safety Team
  • Attends in-service training as stipulated by the district
  • Works closely with other office assistants to create a harmonious and efficiently run office
  • Develops effective working relationships with people with the ability to be empathetic and show patience with parents, students, and staff
  • Maintains the district’s standards relative to confidentiality of information about students and school related concerns
  • Performs other duties as assigned by the building principal

Qualifications

  • High School Diploma required; post-secondary education in a related field preferred, but not required
  • 2 years of experience preferred in a clerical or administrative role
  • Above average computer skills specifically in Microsoft Office and Google Suite
  • Demonstrated above average customer service skills
  • Exceptional interpersonal skills along with strong oral/written communication skills
  • Ability to prioritize and work both independently and as part of a collaborative team
  • Demonstrated excellent attention to detail, with the ability to maintain a high level of accuracy
  • Ability to deal with sensitive information with discretion and to maintain confidentiality
  • Flexible, open to change and improved processes to enhance efficiency
