We’re searching for an Operations Manager who wants to support a fast growing marketing agency’s Operations Department to help keep the wheels spinning. This role is all about making sure programs, processes, and systems are set up correctly and maintained, so our teams can focus on doing their best work.
This person may also support the Business Development and Accounts team by keeping the pipeline and assignments up to date for proper projections and staffing assessments, as well as general admin support for the overall department. The Operations Managermust have a strong work ethic, demonstrating the ability to meet all financial deadlines, maintain daily/weekly responsibilities and also proactively contribute to company growth and change. Previous office management and or production accounting experience at a marketing/experiential/events agency is a preferred, but we’re primarily interested in someone who is extremely detail-oriented, enjoys data mining in a scary way, loves to bring order to life, can keep an eye on the big picture, thrives in the trenches and ultimately has fun doing all of that - just like we do!
RESPONSIBILITIES:
- Oversee operational risk across the agency, including legal and contract review, insurance (COIs), and rate cards
- Partner with Finance and leadership on program profit reviews and retainer negotiations
- Monitor utilization and profitability reports to identify risks and opportunities
- Oversee invoice tracking and ensure alignment with financial processes and timelines
- Manage and optimize agency systems (e.g., Workamajig, Dropbox, Outlook, Slack)
- Ensure data integrity, proper usage, and cost efficiency across platforms
- Maintain user access and permissions across all systems
- Identify and implement system improvements to support team efficiency and scalability
- Support and enhance onboarding and hiring processes across the agency
- Maintain and update job descriptions in partnership with Operations Director and COO
- Assist with employee satisfaction surveys and related process improvements
- Support benefits administration and overall employee experience initiatives
- Plan and support internal team meetings, trainings, and agency-wide communications
- Help execute team events, celebrations, and culture-building initiatives
- Support internal and marketing-related events as needed
- Partner with leadership to foster a positive and collaborative team environment
REQUIREMENTS:
- Strong Internet and Apple/ PC computer skills with a comfort and familiarity of working and operating in today’s cloud environment, Salesforce, Workamajig or similar course work and certifications or experience a plus
- Diligent and meticulous with a fixation on detail
- A highly effective communicator with excellent writing, listening and interpersonal skills
- A self-motivated, confident, energetic and effective project manager – organization is your passion
- Ability to work both collaboratively in a team oriented environment and independently, with high levels of detail
- Bachelor’s Degree with two plus years working in Operations
- Valid Driver’s License and ability to make occasional drop-offs/pick-ups with vendors or other teams as needed
- Knowledge of marketing and event planning, with a general understanding of the Advertising, Media and Marketing industry.
