Description
The Arts & Culture Coordinator with work closely with the Arts & Culture Director and assist in all aspects of events, memberships and registration. Events include year-round author talks, film presentations/talks, educational lectures, recitals and all components of the annual Palm Beach Jewish Film Festival. These events may be presented in-person or virtually, occasional evening or weekend.
The Arts & Culture Coordinator is expected to assist in the renewal of members, reporting, coordinating and implementing events. Additionally, the Coordinator will assist and/or register individuals over the phone for specific events. A good phone and email personality is essential for this position.
ESSENTIAL DUTIES & RESPONSIBILITIES
Operations and Logistics
- Coordinate events from conception to implementation
- Answer phone calls and work events while providing exemplary customer service to current, past and potential members
- Research new and possible venues for events
- Handle volunteer confirmations and questions as needed, primarily relating to the film festival
- Responsible for vendors relations and management, acquiring quotes, menus and other elements related to logistics
- Prepare materials as needed for events, including volunteer materials
- Coordinate hospitality (airfare, hotel reservations, transportation, etc) for speakers as needed
- Assist with off-site film traffic and marketing material delivery for film and book events
- Communicate with high-level members about upcoming events
- Enter JCC events onto various community calendars for marketing purposes
- Write engaging social media copy for events within the department; market events via social media groups
- Assist members/individuals with registrations issues, take registrations over the phone, troubleshoot technology issues relating to virtual film and book events
- Make sure both JCC locations have appropriate marketing materials for upcoming events
- Schedule room use for on-site events and Zoom meetings for virtual events
- Check-in registrants for events on- and offsite
Financial Management
- Perform drops of checks/cash payments into on-site location as needed
- Prepare and submit payment requests to Accounting
- Create invoices for individuals, members or organizations as needed
Society Maintenance
- Maintain spreadsheet of current members, comparing to backend software
- Ensure members and donors are appropriately recognized on event slideshows, brochures, programs, etc.
- Act as point of contact for community members wishing to renew or join Film and/ Literary Societies
- Have a deep knowledge and understanding of the different society levels, with the ability to clearly and concisely explain the differences via phone or email
Customer Service
This person is often the first interaction our community has with our arts and culture department. The individual should have impeccable customer service skills and be able to communicate effectively and efficiently with donors, committee and community members, as well as the rest of the JCC staff. This includes but is not limited to:
- Marketing events through phone calls, emails, and networking
- Consistent follow up with meetings, returning calls in a timely manner, being proactive about reaching out to interested participants
- Resolving issues and concerns quickly and with a positive attitude while still executing our policies and procedures
- Knowledge and understanding of all of arts and culture programming in order to recruit new participants and donors
EXPERIENCE & QUALIFICATIONS
- Must have at least 2 years of event planning experience
- High School Diploma or equivalent required; College Degree preferred
- Microsoft Word/Excel/Outlook skills;
- Demonstrable knowledge of Jewish history, tradition, culture preferred
- Comfort and ability to cold call prospects
- Compelling and thoughtful writer
- Feel comfortable asking questions to other members of department
- Flexibility with work hours and work location (i.e. Boynton Beach or Palm Beach Gardens campus) need by the business, including evenings and weekend events as needed
- Strong attention to detail, customer service skills and a great attitude and desire to help others achieve their goals
- Willingness to learn and embrace the culture at the Mandel JCC
- Strong people skills - you’re approachable, a good listener, and empathetic
- Ability to work efficiently, effectively and independently to complete assignments in a fast-paced environment with multiple competing tasks and demands
- Ability to work collaboratively with agency staff members to form a positive, supportive team atmosphere, and maintain courteous and professional working relationships with clients, vendors and outside contacts of agency
- Reliable form of transportation, ability to work in either JCC location or off-site is required
