Manchester Community Music School is a non-profit organization committed to the mission of “changing lives through the power of learning, sharing, and making music.” Located in historic north Manchester, MCMS provides quality musical instruction, music therapy, and performance opportunities for people of all ages. The Music School is home to 50 of New England’s finest music educators and music therapists and over 1,500 students and clients from across New Hampshire. As a cultural performance center, we offer programs in an environment that encourages participation, interaction, and enjoyment. We are dedicated to supporting the artistic development of the community through our programs, and our classes are open to all regardless of age, race, national origin, physical challenges, or ability to pay.
The Receptionist is responsible for front desk duties in the Manchester Community Music School’s Main Office, completing administrative tasks and presenting a friendly, inviting, and professional atmosphere for all staff, faculty, students, community members, and visitors. The Receptionist reports to the Lead Receptionist and works collaboratively with members of the administrative team to advance the mission and strategic goals of the organization.
Responsibilities:
- Greet all visitors
- Answers telephone, determines caller's needs and routes call appropriately
- Respond to emails
- Answer door
- Answer student/parent/faculty questions
- Process tuition payments; print and/or email receipts
- Forward inquiries to the proper staff members
- Inform students/clients of last-minute cancellations
- Open mail/ Process mail
- Process checks/cash
- Process gift certificates
- Straighten up common areas
- Assist with performances and events
- Assist with bulletin boards and display cases as assigned
- Print flyers
- Print and fold programs
- Laminate
- Thank you letters to donors and foundations.
- Perform Arrival Routine (as necessary- dependent on hours)
- Turn on security door monitor, check reception email, check schedule on ASAP, check outlook calendars (master, gym, recital hall)
- Check phone/voicemail & record any cancellations
- Write student cancellation and give to corresponding teacher
- Faculty change/cancellation communication to students and families
- Perform Lock up Routine (if closing)
- Classrooms not being used: close windows, check number of music stands, clear trash/lost items, turn off Acs (summer), turn off lights, lock door
- Shut off hall lights
- Return keys
- Check that exterior doors are locked
- Set alarm
- Empty dehumidifier in Music Therapy lobby
Qualifications:
- Excellent verbal and written communication skills
- Dependable and punctual
- Be familiar with using Word and Excel
- Maintains an efficient, well-organized office
- High school diploma or GED equivalent
- Secretarial experience preferred but not required
Job Type: Part-time
