Title: Church Administrator, this is a bondable position.

Gross Pay: $25.64
30 hours per week
CHURCH ADMINISTRATOR RESPONSIBILITIES The purpose of the Office
Administrator position’s primary mission is to assist the successful implementation of
Manatee Unitarian Universalist Fellowship’s (MUUF) programs and mission by
completing four main objectives of the fellowship.
1. Ensure that all forms of communications [emails, calendars, printed materials, social
media posts] with the fellowship, board, and larger community are done in a timely
manner.
2.Ensure that all bookkeeping requirements such as financial and bank records,
budgets, balance sheets, payroll, 1099s and employment records are completed and
accurate.
3. Assist in the marketing and procuring of rental contracts, including scheduling said
contracts.
4. Ensure that all programs have the office support required for them to run smoothly.
A summary of duties and responsibilities is below. Please note this is not a definitive list
of all tasks to be performed.
1) Operations and Office Management (5 hrs per week)
a) Systems: Oversee the day-to-day operations of the church office, maintaining
digital/paper files and managing office equipment.
b) Scheduling: Maintain the master church calendar for worship services,
committee meetings, programs and public events.
c) Vendor & Supply Management: Order office supplies and work with Sexton to
coordinate maintenance vendors.
d) Standard Operating Procedures: Ensure standard operating procedures are
followed
2) Communications and Inreach/Outreach (varies 7 hours per week)
a) Publications: Produce and distribute the weekly church emails, monthly
newsletters, weekly order of service, and the annual report.
b) Digital Presence: Update the church website and manage social media
platforms in accordance with congregation guidelines.
c) Publicity: Coordinate internal and external publicity for church programs, social
justice initiatives, and community events.
3). Financial and Data Administration (7 hours per week)
a) Bookkeeping:
i) Ensure that all financial records and reports follow standard accounting
procedures
ii) Collaborate with the church Treasurer to track pledge income
iii) Process accounts payable, receivable, and handle deposits.
iv) Processes offerings and donations
v) Processes and tracks fundraising and event expense and revenue
vi) Process reimbursement requests ensuring they are approved and follow
MUUF’s standard operating procedures.
vii) Write checks for Treasurer signature
viii) Reconcile accounts, ledgers and bank statements
ix) Reporting: Assist in the preparation of the budget and generate QuickBooks
monthly financial reports for the Board of Trustees.
b) Data Management: (Varies depending on time of year)
i) Maintain Membership database and directory.
a) Including current mailing list, email address, phone numbers, date of
membership, and date of birth—if available.
b) Keep membership records updated [collect attendance data from Worship
committee], certify membership numbers with the UUA, and manage delegate
designations for the General Assembly.
c) Assist Treasurer in stewardship campaigns regarding forms, pledges
received.
4). Facility and Personnel Oversight (3 hrs pw)
a) Facilities: Coordinate building use, show spaces to potential renters, prepare
facility agreements, and coordinate with the Sexton.
b) Volunteer Support: Coordinates greeter schedule; Readers for service
c) Order housekeeping supplies, office supplies, other items as requested
5). Board Support (varies each week-6hrs per month)
a) Coordinate and disseminate monthly reports for Board meetings and post to
Google Drive.
b) Coordinate committee meetings and materials
c) Other support as requested
6). Committee Meetings: (roughly 6 hours a month)
a) Attends weekly worship committee meetings and board
committee meetings as requested.
QUALIFICATIONS
Experience: 3 years in office management, nonprofit administration, or a
related business field that included bookkeeping experience. A minimum of an
Associate’s Degree in Accounting practices.
Technical Skills: Proficiency with Microsoft 360, Google Drive, QuickBooks
Online, A/R and Financial reports, and Outlook. Knowledge of design tools like Canva
and social media
platforms a plus.
UU Alignment: A strong understanding of (or willingness to learn about)
Unitarian Universalist principles, the UUA structure, and inclusive, welcoming
community practices.
