Key Objectives:
Supporting the Traffic/Distribution Manager, this role oversees incoming and outgoing shipments, daily operational tasks, and administrative responsibilities. With high visibility, daily actions directly impact the company’s free cash flow.
Responsibilities:
International Shipments:
- Verify the accuracy of documents (BOL, commercial invoice, and packing list) from overseas suppliers.
- Request DIMS for new shipments requiring MOS to determine AIR or OCEAN transit.
- Obtain cost-effective pricing and coordinate with freight forwarders to ensure timely deliveries.
Follow-Up and Updates:
- Address delays or errors in international documents with overseas suppliers.
- Update E1 with accurate MOS, ETC, ETD, and ETA dates for incoming shipments.
- Notify the Procurement Manager of new shipments requiring MOS or any delays/changes with scheduled overseas shipments.
Domestic Shipments:
- Sort and prioritize emails for ready shipments of components and raw materials, arranging same-day pickups as needed.
- Assist in populating the Loading Dock calendar with 2-hour delivery windows for incoming carriers.
- Work with the Branded team to secure competitive pricing and fast delivery for orders.
- Process all DHL international outgoing shipments, including creating airway bills, commercial invoices, and SED forms.
Stakeholder Support:
- Respond to delivery status inquiries from Planners and other stakeholders.
- Prepare BoLs for outgoing domestic shipments and manage billing for outgoing shipments.
- Maintain and update cost savings trackers and daily shipped spreadsheets with tracking details.
Weekly and Biweekly Tasks:
- Update the weekly YNC spreadsheet with tracking details, ensuring shipments are delivered without delays due to missing paperwork.
- Create a biweekly spreadsheet of carrier freight bills for the Distribution Manager's review before A/P approval and payment submission.
System and Portal Familiarity:
- Learn and adopt contract-customer logistics portals for shipment booking and routing.
- Gain familiarity with ADSI, FedEx, and UPS portals to assist with Distribution operations as needed.
Key Skills:
- Experience: 2-3 years of traffic/logistics experience required.
- Communication: Strong written and verbal skills, with a focus on phone and email communication.
- Technical Skills: Proficiency in EXCEL and E1 preferred but can be taught.
- Attention to Detail: Critical thinking and precision to avoid shipment disruptions caused by document errors.
- Organizational Skills: Strong time management and multitasking abilities.
- Collaboration: A team player who can effectively work with multiple departments.
