Overview

As a Client Service & Operations Coordinator, you will be an invaluable part of our team, delivering exceptional service and fostering strong client relationships. This role requires strong written and verbal communication skills, along with keen attention to detail, as you manage client communications, schedule appointments, and coordinate meetings that drive our team’s success. You will be instrumental in preparing client documentation and deliverables, handling client inquiries, and providing timely follow-up to ensure client satisfaction.


We are a small, close-knit team looking for a self-motivated, detail-oriented problem solver who can contribute innovative ideas to enhance our processes and support our collective mission.


Administrative Support

Mammini Company is an independent investment management firm located in San Diego. For over 25 years, we have partnered with families, labor unions, corporations, and non-profits to help create better investment and retirement outcomes for our clients. Essential Duties & Responsibilities

Administrative Support

·        Greet and welcome guests and announce visitors promptly to the appropriate advisor or team member.

·        Manage and maintain schedules, including appointments, meetings, and travel arrangements.

·        Prepare and edit correspondence, communications, presentations, and other documents.

·        Prepare conference room for client meetings.

·        Handle incoming and outgoing communications, including phone calls, email, and mail.

·        Respond to and resolve administrative inquiries; provide basic and accurate information in-person and via

phone/email.


Customer Service

· Serve as the first point of contact for clients, providing a friendly first impression.

·        Scheduling client meetings and preparing necessary documentation

·        Maintain and update client records in the CRM system.


Office Management

·        Maintain office supplies inventory and place orders as needed.

·        Ensure a clean and organized office environment.

 

Project Coordination

·        Support the execution of various projects, ensuring timely completion.

·        Collaborate with team members to streamline processes and improve efficiency.


Required Skills/Abilities

·        Excellent written and verbal communication skills and a positive attitude are required.

·        Strong interpersonal and customer service skills.

·        Strong organizational skills and attention to detail.

·        Strong multitasking and time-management skills, with the ability to prioritize tasks.

·        Ability to work independently and to be resourceful and proactive when issues arise.

·        Proficiency with and willingness to learn all required computer programs, e.g., Microsoft Office Suite (especially

Outlook, Word, and Excel), various industry-specific software, such as a client relationship management system.

·        Hands-on experience with office equipment.


Education & Experience

·        High school diploma or equivalent required.

·        An associate or bachelor’s degree in a related field is preferred.

·        Minimum of 2 years of experience in an administrative, client service, or other similar professional role.

Experience in financial services or professional services is a plus.

·        Experience working with basic financial records and accounting is a plus.

·        Knowledge of basic financial terminology and processes is a plus.


Compensation

The salary range for this position is between $50,000 and $60,000. The final base pay offered will depend on factors such as experience, skills, training, certifications, and education. Compensation decisions will be made on a case-by-case basis.
