We are working with a financial services client in the Louisville area who is seeking a Client Services Associate to join their team. The Client Service Associate will prepare new business, help servicing clients, and make customized reviews/recommendations for all clients with the guidance of the Lead Advisor. The Client Service Associate is fully accountable for processing new business, maintaining files/records, handling day-to-day client management, and client retention. Key duties for this role include deepening relationships with clients, meeting with prospects/clients typically transitioned from Lead Advisor, handling all new business, and servicing existing clients.. This is a direct hire position that would be in office 5 days a week. No sponsorship is available. No B2C/C2C. Must live in the Louisville area. No relocation available.
Responsibilities:
Daily
- Perform general administrative and support functions for the office including maintaining files, preparing correspondence, running reports, answering telephones, scheduling appointments, copying materials, and faxing information
- Organize new business, coordinate, and maintain all client paperwork
- Correspond with clients to complete new accounts, asset transfers, and other forms
- Handle routine matters for client accounts to include processing name and address changes, account applications and bank authorizations, answer client questions via telephone and face to face
- Review and respond to emails as necessary
- Maintain files and records in accordance with the records retention policy in Redtail and Sharefile
Weekly
- Prepare for client meetings focusing on planning discussions and reviews
- Organize Client Files in Sharefile to meet compliance requirements
- Liaise with team members on client documentation, prepare and process
- Create the weekly marketing post via email and social media
- Data entry and preparation for client eMoney portal
Monthly
- Review work methods and procedures for possible quality improvements and efficiencies
- Review Redtail to ensure client records are up-to-date
- Maintains strong compliance documentation in Sharefile
- Maintain order of all inventories of office supplies
Requirements:
- 2 years of prior experience working in the financial services, banking or insurance industry
- Excellent organizational and time management skills
- Knowledge in Microsoft Office
- Excellent attitude and an extraordinary customer service
- Ability to handle multiple tasks and operate within tight deadlines
