MalaceHR is seeking a highly organized and motivated Facilities Coordinator to support daily site operations and ensure an exceptional workplace experience. This role partners closely with Site and/or Assistant Facility Managers to oversee maintenance and operations, vendor management, service delivery, and client relations.The ideal candidate is a self-starter, quick learner, and detail-oriented professional with experience managing work orders (CORRIGO experience preferred) and coordinating vendors in a fast-paced environment.Key ResponsibilitiesService Delivery & OperationsFoster a culture of teamwork, cooperation, performance excellence, and accountability.Conduct daily site walkthroughs to ensure a clean, safe, and organized environment.Manage and respond to work orders in a timely manner, ensuring KPI compliance and exceptional customer service.Utilize CORRIGO or similar CMMS platforms to manage tickets and track work to completion.Schedule and coordinate repairs, maintenance, and minor projects.Oversee vendor performance and provide direction to ensure quality execution with minimal disruption to operations.Assist with vendor procurement and service coordination as needed.Identify opportunities for operational improvements and service enhancements.Support building inspections to ensure procedures, performance standards, and safety requirements are consistently met.Maintain accurate site documentation, records, and reporting.Assist with emergency preparedness planning, evacuation procedures, and after-hours response coordination.Workplace & Occupancy ServicesCoordinate delivery of site amenities (e.g., fitness, food services, transportation, wellness services).Support meetings, conferences, and on-site events.Assist with space moves, reconfigurations, and occupancy requests.Provide support for reception, guest services, mail/courier coordination, office supplies, access badges, and landlord relations as needed.Client Relationship ManagementEnsure compliance with all contractual obligations and performance metrics.Deliver a high level of service aligned with client expectations.Coordinate site operations in accordance with established policies and procedures.Proactively build and maintain strong client relationships.QualificationsPrior experience in facilities coordination, property management, hospitality, or a related field preferred.Experience managing service tickets and vendor coordination (CORRIGO experience strongly preferred).Knowledge of occupational health and safety standards is advantageous.Basic understanding of building systems (HVAC, chillers, fire protection, mechanical and electrical systems) preferred.Proficiency with Microsoft Office and other workplace technology platforms.Strong communication, organization, and problem-solving skills.Ability to work independently with minimal supervision.Self-motivated, adaptable, and capable of handling multiple priorities in a fast-paced environment.
