Accounting Operations Manager / ControllerQuickBooks Online | AR/AP | Payroll | Reporting | General Ledger | Process Building
We have a fast-growing facility maintenance and general contracting company based in New Jersey. We manage commercial repair, maintenance, and project work across multiple states using internal teams, subcontractors, vendors, client portals, work orders, invoices, and accounting systems.
We are looking for an experienced Accounting Operations Manager / Controller to take ownership of our accounting operations, clean up current backlogs, build stronger financial processes, and provide leadership with accurate reporting.
This is not a basic bookkeeping role. We need someone who can step into a growing company, understand the moving pieces, organize the accounting function, and build the structure needed for scale.
The right person must be hands-on, detail-oriented, strong with QuickBooks Online, experienced with AR/AP, payroll, reconciliations, general ledger, reporting, and comfortable working closely with ownership and operations leadership.
Key ResponsibilitiesAccounting Operations
- Own day-to-day accounting operations
- Manage and improve the accounting workflow between operations, vendors, clients, payroll, and QuickBooks
- Review current accounting backlog and create a cleanup plan
- Build accounting processes, checklists, and SOPs
- Create clear approval workflows for bills, payments, invoices, payroll, and reporting
- Identify accounting gaps, missing information, duplicate entries, delayed invoices, and process breakdowns
- Work directly with ownership and operations leadership to improve financial visibility
Accounts Receivable / Client Invoicing
- Oversee client invoicing process
- Review completed work orders and confirm jobs are ready to invoice
- Track invoices submitted, pending, rejected, disputed, and unpaid
- Maintain AR aging report
- Follow up on overdue receivables
- Identify billing delays, missing backup, missing approvals, and client portal issues
- Help build a process to reduce delays between job completion and invoice submission
Accounts Payable / Vendor Bills
- Oversee vendor bill entry, review, approval, and payment preparation
- Match vendor bills to work orders, approvals, proposals, job status, and supporting documents
- Maintain AP aging report
- Build a clear “approved for payment” process
- Prevent wrong payments, duplicate payments, early payments, and payments on incomplete jobs
- Coordinate with operations before vendor payments are prepared
- Help organize vendor payment terms and documentation requirements
QuickBooks / General Ledger
- Maintain and review QuickBooks Online
- Review chart of accounts and recommend improvements
- Handle general ledger review and cleanup
- Review transaction coding and classifications
- Manage bank and credit card reconciliations
- Review balance sheet accounts
- Post and review journal entries
- Support month-end and year-end close
- Prepare schedules for tax/accounting support as needed
Payroll / PEO Payroll Review
- Review U.S. payroll reports
- Review payroll-related journal entries
- Review payroll liabilities, reimbursements, deductions, employer costs, and payroll allocations
- Review PEO payroll invoices and related reporting
- Help leadership understand payroll cost, labor burden, and department/project allocation where applicable
Reporting & Management Support
- Prepare weekly and monthly financial reports for ownership and operations leadership
- Build reporting dashboards or report packages that show the true financial position of the company
- Prepare reports covering:
- Cash position
- AR aging
- AP aging
- Payroll summary
- Revenue
- Expenses
- Gross profit
- Job/customer profitability
- Unbilled completed work
- Vendor payables
- Collections priority
- Cash flow forecast
- Create a weekly finance report that leadership can use to make decisions
- Identify margin issues, cash flow issues, billing delays, and expense trends
Systems, Integrations & Process Improvement
- Support integrations between operations systems, work orders, client invoicing, vendor bills, and QuickBooks
- Identify integration risks such as duplicate bills, duplicate invoices, wrong customer mapping, wrong vendor mapping, incorrect account coding, and missing data
- Build reconciliation checks between systems
- Help create a scalable accounting process as the company grows
- Work with operations to make sure accounting receives the information needed on time
Required Qualifications
- 7 years of accounting, bookkeeping, or controller-level accounting experience
- Strong QuickBooks Online experience
- Strong Accounts Receivable experience
- Strong Accounts Payable experience
- Strong general ledger experience
- Strong bank and credit card reconciliation experience
- Experience preparing financial reports for owners, executives, CFOs, controllers, or senior management
- Experience with U.S. payroll review and payroll-related accounting
- Experience with month-end close
- Experience cleaning up accounting backlogs or messy books
- Strong Excel and/or Google Sheets skills
- Ability to create reports, trackers, and accounting processes
- Strong communication skills
- High attention to detail
- Ability to work independently and take ownership
- Ability to identify problems and recommend solutions
- Comfortable working in a fast-moving company where systems are still being improved
Preferred Qualifications
- Experience in construction, facility maintenance, property management, service businesses, subcontractor-based businesses, or project-based accounting
- Experience with job costing or customer/project profitability
- Experience working with work orders, client portals, subcontractor invoices, vendor payments, and service tickets
- Experience with PEO payroll providers
- Experience working directly with business owners, CFOs, controllers, or operations leaders
- Experience building accounting SOPs, approval workflows, and reporting packages
- Experience supporting QuickBooks integrations or accounting system migrations

Work Location
Local candidates preferred.
This role may be in-office, hybrid, or mostly remote depending on experience and fit, but the candidate must be available for regular meetings with leadership and operations.
Compensation
Compensation will depend on experience.
