Responsibilities Include
- Completing biweekly chart audits for accuracy and completion for all of Mainspring’s locations and levels of care
- Pulling charts and overseeing peer reviews and monthly documentation quality audits for all of Mainspring’s locations and levels of care
- Creating and distributing chart review deficiency reports to applicable members of leadership
- Keeping weekly reports detailing the number of charts reviewed and relevant compliance metrics
- Creating and ongoing refinement of QA/QI tools (i.e. spreadsheets, templates, etc.)
- Timely reviewing, prioritizing, validating, and processing client document requests for Release of Information / Document Review / Record Retrieval for all incoming and outgoing requesting individuals and entities
- Ensuring records are transmitted in the requested format
- Ensuring ROIs on file are current and securing new ones for expired ROIs
- Ensuring confidentiality of all medical records information including maintaining chart control, access, and storage in accordance with medical, legal, and regulatory federal and state requirements
- Interfacing with third party requestors, e.g. clients, law enforcement officials, other providers, attorneys as needed, while providing an exceptional customer experience
- Drafting documentation requests and releases, as needed, for approval
- Escalating any privacy or security related questions or concerns coming from clients or staff
- Identifying process gaps and making recommendations, as appropriate, regarding ongoing in-house training and process improvement
- Performing other functions related to the position as assigned
EDUCATION/CREDENTIALS
- High school diploma or GED required
- Some college preferred
- Clinical experience/credentials preferred
- Minimum of two years clerical experience in a healthcare environment required.
- Previous experience working in a behavioral health treatment setting preferred.
- Previous experience working with Kipu is a significant plus.
- This role requires strict HIPAA and 42 CFR Part 2 compliance and is responsible for safeguarding all client medical documentation on behalf of the organization
- Strong technology skills required
- Exercises good judgment and functions independently
- Completes tasks with attention to detail, meets established deadlines, and functions with minimal direct supervision
- Demonstrates the ability to organize and prioritize required and assigned job duties
- Capable of occasional travel as required for onsite meetings and job-related training
