The Wealth Management Administrative Assistant plays a pivotal role in supporting a small team by providing efficient administrative and client assistance. This position involves direct communication with clients, managing appointments, coordinating account details, and ensuring smooth document and data handling within a wealth management context. The ideal candidate is organized, discreet, and familiar with wealth management technologies such as account opening paperwork, proposal preparation, financial planning applications and similar tools;

 

Responsibilities

  • Provide client support through direct communication and service
  • Schedule appointments and coordinate calendars for wealth management team
  • Manage and organize documents and paperwork accurately
  • Perform data entry and maintain client accounts
  • Handle communications including emails, calls, and inquiries
  • Prepare reports and assist with compliance-related activities
  • Maintain detailed records and organize office operations

 

Preferred Qualifications

  • 3 years of experience in administrative support, preferably in wealth management
  • Proficient in Microsoft Office Suite and CRM software
  • Proficient with Wealth Management technology
  • Strong customer service and communication skills
  • Effective organization and time management abilities
  • Upholds confidentiality and demonstrates problem-solving skills
