Accounts Payable Clerk / Bookkeeper

About the Role
MBM Inc. is seeking a detail-oriented and dependable Accounts Payable Clerk / Bookkeeper to join our team at our main office in San Antonio, TX. In this role, you will manage all vendor invoices, maintain accurate financial records, and provide general accounting support to the Office Manager. The ideal candidate brings hands-on accounts payable experience, strong data entry skills, and the ability to work independently in a fast-paced environment.
Key Responsibilities
- Process and manage all vendor invoices, including matching invoices to purchase orders and quotes for accuracy
- Maintain organized, accurate, and complete accounts payable files and vendor records
- Ensure timely, properly authorized, and correctly recorded expenditures
- Handle vendor administration: set-up, ongoing communication, and resolution of billing or payment discrepancies
- Process vendor payments and reconcile the accounts payable ledger to confirm all payments are accurately posted
- Assist with Accounts Receivable functions as needed
- Prepare and generate financial and operational reports, including Inventory Reports, Job Cost Reports, and Supply Pricing Reports
- Track and maintain supply pricing data — monitor vendor price changes for cleaning supplies and janitorial products (paper products, liners, chemicals, cleaning solutions, and floor cleaning equipment)
- Effectively prioritize workload to meet established deadlines
- Perform routine office tasks and provide general administrative support to the Office Manager as directed
Required Skills & Qualifications
- Experience with accounting software (QuickBooks, Sage, or similar)
- Proficient in Microsoft Office Suite, with strong Excel skills
- Solid data entry skills with a high degree of accuracy and attention to detail
- Ability to generate, review, and interpret financial and operational reports
- Strong organizational, time management, and multi-tasking skills
- Excellent verbal and written communication skills
- Self-starter capable of working independently with minimal supervision
- Collaborative team player who treats others with respect and contributes to a positive work environment
Education & Experience
- High school diploma or GED equivalent required
- Minimum 2 years of experience in accounts payable or a related accounting role
- 3 years of accounting or office experience preferred
Physical Requirements
- Ability to sit for extended periods of time
- Frequent computer use and phone communication (approximately 75% of the workday)
- Ability to lift up to 20 lbs occasionally
