Overview:
We are seeking a detail-oriented Administrative Assistant to provide critical support in managing cost reports, organizing documentation, and assisting the rate setting and audit teams. The ideal candidate will have a strong background in administrative work within a financial, auditing, or reporting environment, with excellent organizational and communication skills.
Key Responsibilities:
Document Management:
- Create and maintain both hard copy and digital folders for cost reports, including financial documents, licenses, personnel data, and related correspondence.
- Ensure digital files are accurately stored and organized in designated servers or systems.
Cost Report Coordination:
- Act as the first point of contact for submitted cost reports.
- Review and verify all supporting documentation including licenses, financials, and cost reports.
- Upload and maintain accurate attachments within internal systems.
- Check rate adjustments and confirm if a report should be budgeted.
- Validate cost tiers and financial alignment with guidance from supervisors.
Contact Information Management:
- Verify and update provider primary contact details (name, email, address, and phone number) to ensure accurate communication and mailing of rate letters.
System Maintenance & Data Cleanup:
- Identify and delete incomplete or inactive (“purgatory”) cost reports to maintain database accuracy.
- Assist with copying or rolling over prior year budgeted reports to current year versions as directed.
Research & Audit Support:
- Conduct research to assist auditors, including grant verification, RMS roster analysis, and time study updates.
- Support auditors by reviewing job descriptions, researching rates, and preparing Excel-based analyses.
- Track provider communications and responses within internal systems.
Profit Margin Updates:
- Maintain and update profit margin data for private or profit vendors annually using existing templates.
Q&A and Compliance Checklist:
- Perform quality assurance checks on cost reports before review by auditors or management.
- Verify compliance items including tax rates, caseload ratios, salary tiers, and revenue consistency.
- Ensure cost categories such as equipment and leased assets have proper documentation and descriptions.
Required Skills & Qualifications:
- High School Diploma or equivalent (Associate degree preferred).
- Minimum 1 year of administrative experience in a financial, auditing, or accounting environment.
- Proficient in Microsoft Excel for data entry, analysis, and report tracking.
- Strong organizational and time management skills with attention to detail.
- Excellent written and verbal communication abilities.
- Ability to manage multiple priorities and maintain accuracy under tight deadlines.
Preferred Skills:
- Experience researching grants, financial data, and rate-related information.
- Familiarity with cost reporting and rate setting methods.
- Experience with systems such as iRate or KidTraks (or similar database tools).
