Salary:
We are looking for a friendly, dependable Administrative Backup Receptionist to join our tax office. This position is a great fit for someone who enjoys working with people and staying organized and plays an important part in helping to keep the office running smoothly during our busy tax season.
This role is full-time from January through April 15th, and around 20 hours per week during the rest of the year. There may also be opportunities for extra hours helping cover vacations or busy days for our other administrative staff.
Responsibilities
- Greeting clients professionally and assisting them when they arrive
- Answering and directing incoming phone calls, taking messages, scheduling appointments
- Tracking, updating and monitoring the CPAs schedules daily
- Assisting with client intake and document collection, and scanning and organizing paperwork
- Assisting with client pickup of tax returns, including accepting payment and obtaining client signatures for tax return processing
- Helping keep the front office clean and organized
- Assisting the team and Firm Administrator with general office tasks
- Maintaining strict client confidentiality and handling sensitive information securely
- Assisting with the assembly and scanning of tax returns during peak times
- Assisting with mail pick up and firm errands
- Understanding the Firms administrative processes thoroughly
Qualifications
- Excellent communication/organizational skills and professional demeanor are a must as you will interact with people at all levels within and outside of the organization
- Organized, detailed-oriented, and dependable
- Ability to multitask effectively and accurately in a fast-paced office environment
- Must exhibit accuracy, initiative flexibility, and resourcefulness.
- Comfortable handling a high volume of phone calls while easily operating our computer systems, including Microsoft Office and email
- Professional appearance and attitude
- Strong customer service experience is necessary and previous office or receptionist experience is a plus but not required
