Magnum is hiring an Office Administrator to support daily operations by managing documentation, assisting with dispatch functions, and ensuring accurate data entry and payroll processing. This role plays a key part in keeping terminal operations organized, efficient, and on schedule.

What You'll Do
- Enter and manage bills of lading (BOLs) in the TMW dispatch system, including weights and shipment details
- Dispatch trips in TMW by creating trip numbers and assigning drivers, trucks, and trailers
- Obtain and track Proof of Delivery (POD) from customers
- Manage employee timekeeping, including PTO entry and time clock updates
- Verify and support driver payroll processes
- Order and manage office and truck supplies
- Track driver uniforms and related expenses
- Provide support as a backup dispatcher when needed
- Assist with incoming calls and general office support

We are seeking a detail-oriented and adaptable professional with experience in transportation and dispatch operations. Ideal candidates have:
- Experience in truckload, local cartage, or brokerage operations
- Strong understanding of transportation processes, dispatch terminology, and logistics workflows
- Ability to adapt quickly in a fast-paced environment with constantly changing priorities and schedules
- Strong communication skills, with the ability to effectively interact with drivers and customers via phone, email, and messaging
- Knowledge of the local metro area and Midwest region for efficient route planning
- Ability to multitask, prioritize, and meet deadlines
- Strong teamwork skills with the ability to collaborate effectively in a team environment
- Experience with Transportation Management Systems (TMS) such as TruckMate (TMW) (preferred)
- Strong organizational and problem-solving skills
Education & Experience
- High School Diploma or GED required
- Prior experience in transportation, dispatch, or logistics preferred
Work Environment & Physical Requirements
This position is performed in an office or operations environment, where employees work with computers, phones, and transportation systems throughout the day. The role requires extended periods of sitting or standing, along with continuous use of communication tools to coordinate with drivers, customers, and internal teams. Employees must be able to maintain focus and accuracy in a fast-paced setting, with occasional lifting of up to 20 pounds and occasional travel as needed.
