What are the responsibilities and job description for the Veterinary Receptionist position at Magnolia Veterinary Care?
Client Service Representative (CSR)
Magnolia Veterinary Care | Opening June 2026 | Atlanta, GA
Magnolia Veterinary Care is a locally owned, women-led veterinary practice opening in June 2026. We are building something intentionally different, an environment where veterinary medicine feels sustainable, thoughtful, and genuinely supportive for both the team and the families we serve.
We believe great medicine happens when you have the time to do it well, the support to do it confidently, and a team that works together with respect and trust.
We are looking for a Client Service Representative to join our founding team and help shape how we care for clients from their very first interaction with us.
What Makes This Role Important
Client Service Representatives are at the center of both the client experience and the daily workflow of the hospital. You are often the first person someone speaks to and the last person they see before leaving. The way you communicate, guide, and support clients directly shapes how they feel about their pet’s care.
This role is not just about answering phones or scheduling appointments. It is about creating trust, setting the tone for each visit, and helping the medical team operate smoothly behind the scenes.
What Makes Us Different
We are not just opening another clinic. We are rethinking how veterinary care feels day to day.
- We intentionally do not offer overnight boarding so our team can rest, recharge, and maintain a sustainable work-life balance
- We prioritize quality over speed, with workflows designed to support thorough, thoughtful care
- We value clear, non-judgmental communication with clients and each other
- We are building a team-first culture where people feel respected, supported, and heard
- We believe veterinary medicine should be sustainable, with reasonable pacing and realistic expectations
- We are creating space for growth, creativity, and collaboration, not just task completion
If you have ever felt rushed, unsupported, or like you could not provide the level of service you are capable of, this is the kind of environment we are working to build.
What You’ll Do
As a Client Service Representative, you will manage communication between clients and the medical team while helping keep the day running smoothly and efficiently.
Responsibilities include:
- Answering phones and guiding clients through routine questions, scheduling, and urgent situations
- Recognizing emergency situations and ensuring patients are seen appropriately
- Greeting clients and creating a welcoming, organized front-of-house experience
- Admitting and discharging patients while clearly communicating next steps
- Scheduling appointments in a way that supports both client needs and hospital workflow
- Communicating updates between clients, veterinarians, and technicians
- Managing invoices, processing payments, and keeping clients informed of costs
- Maintaining accurate client and patient records
- Following up with clients regarding reminders and needed updates
- Supporting the team by keeping communication clear, timely, and organized
What We’re Looking For
We are looking for someone who is organized, people-focused, and able to stay steady in a fast-paced environment.
You may be a great fit if you:
- Have strong communication skills and enjoy working with a wide range of people
- Are able to stay calm, professional, and kind during emotional or stressful situations
- Communicate with clients in a supportive, non-judgmental way that builds trust and comfort
- Can multitask and prioritize effectively, even with frequent interruptions
- Take initiative and look for ways to support both clients and your team
- Have strong attention to detail, especially with scheduling and invoicing
- Are reliable, punctual, and able to manage your time well
- Have experience in a veterinary or medical setting
Schedule
- Clinic hours are Monday to Friday, 8:00 AM to 5:00 PM
