Magnolia Connection is a brain health practice located in Norwalk, Iowa. We are hiring a Front Office Coordinator to join our team! We are seeking a dedicated, highly organized individual who thrives at multitasking and maintaining a friendly, positive attitude. This full-time position requires availability for 40 hours per week, generally from 8:00 AM to 5:00 PM Monday through Thursday, with a shorter workday on Friday.
Key Responsibilities – Front Office Coordinator
- Serve as the primary point of contact at the front desk during business hours, ensuring a welcoming and professional environment for all clients and visitors.
- Answer incoming phone calls promptly and professionally, assisting with inquiries and/or routing calls as needed.
- Check in clients, collect co-pays, assist with invoice collection, and ensure accurate entry of billing information.
- Manage the collection of forms from various providers for multiple clients, including distribution, follow-up, scoring, and accurate data entry.
- Send and receive faxes related to medical requests, healthcare records, and provider communications, ensuring timely and accurate transmission.
- Coordinate calls and communications between clinic providers and outside agencies or external clinicians to facilitate patient care and information exchange.
- Use Google Drive for organizing and managing documents.
- Support clinic operations by maintaining a clean, organized, and fully stocked reception area and shared spaces.
- Manage clinical inventory by tracking and replenishing resources required for daily operations and patient care.
- Assist with general office and administrative duties to ensure the smooth day-to-day functioning of the clinic.

- Willingness to learn and effectively use Electronic Health Record (EHR) systems and other clinic software.
- Proficiency in Google Drive and related tools for scheduling, documentation, and communication.
- Experience coordinating appointments and managing calendars across multiple providers.
- Basic accounting skills for collecting co-pays and processing invoices.
- High attention to detail for managing forms, data entry, and record accuracy.
- Ability to handle sensitive healthcare information with confidentiality and professionalism.
- Flexibility to work varying hours and adapt to the changing needs of the practice.
- Basic office management skills, including maintaining a clean, organized reception area and managing office supplies.
- Familiarity with faxing, scanning, and handling healthcare records in a secure and compliant manner.
