Job Description: We are seeking a professional, organized, and personable Medical Spa Coordinator (Front Desk) with a strong background in client service, scheduling, and patient communication. This individual will play a key role in creating an exceptional patient experience while ensuring smooth daily operations and maintaining high service standards.
Key Responsibilities:
1. Patient Coordination & Front Desk Operations
- Manage scheduling, rescheduling, and appointment cancellations
- Facilitate patient check-in and check-out processes
- Maintain and update patient profiles
- Verify completeness of required forms and documentation
- Process payments accurately
- Coordinate appointment confirmations and reminders
- Respond to phone calls, messages, and general patient inquiries
2. Patient Experience & Retention
- Conduct follow-up communication as needed after visits
- Support patient rebooking and retention efforts
- Ensure patients understand next steps
- Reinforce aftercare instructions provided by clinical staff
- Coordinate communication between patients and clinical staff
3. Business & Operational Support
- Assist with retail transactions and product purchases
- Maintain product displays
- Provide general product and membership information
- Support membership tracking and renewals
- Monitor inventory levels and notify team when supplies are low
- Assist with ordering and restocking
- Route detailed or clinical questions to appropriate staff
4. Scope of Role
- Do not diagnose conditions or provide medical advice
- Do not independently recommend treatments
Qualifications:
- Experience in a medical office, med spa, hospitality, customer service, or other client-facing role
- Strong verbal and written communication skills
- Professional, calm, and empathetic demeanor
- Organized, reliable, and able to follow tasks through to completion
- Comfortable managing schedules, coordinating appointments, and handling multiple tasks throughout the day
- Able to explain services, processes, and pricing in a clear and respectful manner
- Comfortable handling sensitive conversations with professionalism and discretion
- Basic computer proficiency, including experience with scheduling systems, electronic records (EMR/EHR), email, and general office software
- Ability to work in a fast-paced, patient-facing environment while maintaining attention to detail
- Experience in aesthetics, skincare, or a medical setting is preferred but not required; training will be provided
