What are the responsibilities and job description for the Client Services Manager position at Magellan Financial & Insurance Services, Inc.?
You know the difference between answering a phone and owning what happens after it rings. Between filing a document and moving an application until it's actually done. Most offices split that work into pieces and give ownership to no one. We're doing the opposite.
Alloy Wealth VA is a retirement-planning practice in Virginia Beach — the brand is new; the practice isn't. We carry forward longstanding local roots and existing client relationships into a new chapter of growth. We're hiring one person to own the full client-and-office rhythm.
What you'll own
- Client contact — the first voice on the phone, the first face in the office. Complete, accurate messages; routine questions handled well; advice questions routed to the right advisor fast.
- Financial applications — accuracy and completeness from intake through completion, missing documents pursued, status and next step visible so nothing stalls quietly.
- The calendar — scheduling, confirmations, deadlines, conflict prevention, and meeting logistics for the whole office.
- Records and open loops — CRM, tasks, notes, and files — are up to date enough that anyone can trust them, with follow-ups closed before anyone has to chase them.
- Events and the office itself — client events, vendors, materials, logistics, and a space that's organized, welcoming, and ready.
Why this seat
This isn't reception, and it isn't people management — there are no direct reports. You run the workflow, not the staff. In a small advisor-led office, everything above belongs to one accountable owner: you. You work directly with the advisors leading the practice; your effect on clients and advisor capacity shows quickly, and you build real depth across advisory and insurance workflows without carrying a personal sales or production mandate. As trust builds, so does the scope of what you own.
The honest trade
The role is broad and hands-on. Five days a week in our Virginia Beach office. Some hours are hospitality; some are exacting document detail — most days are both. There are no layers here; the work is yours. If you want distance from execution or one narrow lane, this isn't your seat.
What you need
- You've owned a client-service, administrative, or document-heavy workflow from intake through completion — not one step in someone else's.
- Warm, professional communication by phone, email, and in person, with accurate capture and sound judgment about what to handle and what to escalate.
- Accuracy in a confidential environment — you catch incomplete, inconsistent, or missing information before it becomes a problem.
- Independent prioritization across calls, calendars, applications, events, and everything else a small office generates.
- A sustainable full-time, on-site commitment to Virginia Beach.
No securities or insurance license is required, but if you hold one, it's a plus. Backgrounds in wealth management, banking, trust, insurance, mortgage processing, legal, healthcare, or accounting translate well — the common thread is regulated, deadline-sensitive work you carried to completion.
Compensation: $50,000–$70,000 base. Placement depends on relevant experience and remaining ramp.
If you've been the person a whole office quietly depends on, we'd like to meet you.
