As an Administrative Assistant, you will be the backbone of our operations, ensuring that everything runs smoothly and efficiently. Your role will encompass a variety of tasks that support both the administrative team and our clients. You'll be the friendly face at the front desk, manage multi-line phone systems, and provide exceptional customer service. What you'll do

  • Greet visitors warmly and manage front desk operations with professionalism
  • Handle incoming calls through multi-line phone systems, demonstrating excellent phone etiquette
  • Maintain organized filing systems and perform data entry with accuracy
  • Assist with calendar management to schedule appointments and meetings efficiently
  • Provide clerical support including proofreading documents and managing correspondence
  • Utilize QuickBooks for sales and purchase orders
  • Support office management by maintaining supplies and equipment, ensuring a productive workspace
  • Deliver outstanding customer support by addressing inquiries and resolving issues promptly

Basic qualifications

  • Strong organizational skills with a keen attention to detail
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • QuickBooks a must
  • Sales and purchase orders into QuickBooks
  • Communicate with carriers
  • Dealing with sales reps around the country
  • Speaking with warehouses and vendors
  • Coordinating logistics
  • Need to speak clearly and professionally as they deal with the federal government (for their prison accounts)
  • Excellent typing skills with a focus on accuracy

Preferred qualifications

  • Bilingual proficiency to enhance communication with diverse clientele
  • Previous experience as a dental or medical receptionist is a plus
  • Familiarity with office management practices and administrative procedures
  • Background in customer service or personal assistant roles
