We are currently seeking a dependable, organized Administrative Assistant to support our field operations from an on-site construction trailer. This role is essential to keeping projects running smoothly and supporting both on-site staff and leadership.

Position Overview

The Administrative Assistant provides front-line administrative and operational support from a job site trailer. This role serves as a liaison between field staff, project teams, and leadership, ensuring accurate documentation, smooth communication, and reliable administrative support.

Schedule:
5–10 hour shifts, Monday–Friday (based on project needs)

Work Environment:
Field Office

Key Responsibilities

  • Provide general administrative support, including copying, filing, scanning, and data entry

  • Serve as the primary point of contact in the site trailer, greeting visitors and directing inquiries appropriately

  • Answer, screen, and route phone calls while providing basic information as needed

  • Manage calendars, schedule meetings, and coordinate project or site meetings

  • Attend project meetings and accurately record and distribute meeting notes

  • Order office and site supplies and track inventory as needed

  • Assist with invoicing, documentation, and record maintenance

  • Receive, sort, and distribute mail and deliveries

  • Act as a liaison for on-site staff by directing questions, requests, or issues to the appropriate parties

  • Provide administrative support to project leadership and executives as needed

  • Perform other duties within reason, as assigned by leadership

Qualifications:
  • Prior experience in an administrative, receptionist, front office, or similar role preferred

  • Proficiency in Microsoft Office (Word, Excel, Outlook), MS Teams, and phone systems

  • Strong organizational skills with excellent attention to detail

  • Clear verbal and written communication skills

  • Ability to manage multiple tasks in a fast-paced environment

  • Professional demeanor and customer-service mindset

  • Reliable, punctual, and self-motivated with a strong work ethic

  • Comfortable working in a construction site trailer environment
