The Hospital Support Assistant provides administrative, operational, facility, and organizational support to help maintain a clean, safe, efficient, and professional hospital environment.
This position is designed to provide the student with meaningful workplace experience while supporting the day-to-day operations of Madison Veterinary Specialists. Responsibilities are primarily non-clinical and focus on administrative support, facility upkeep, organization, and special projects.
This position does not involve direct patient care, animal handling, medical treatments, or duties prohibited under federal or Wisconsin child labor laws.
Essential Duties and Responsibilities
Administrative Support
- Scan, file, organize, and archive documents.
- Assist with document management and record organization.
- Prepare files for storage and shredding.
- Organize office supplies and administrative workspaces.
- Assemble packets, training materials, and meeting materials.
- Support administrative and operational projects as assigned.
Operational Support
- Organize storage areas, supply closets, and common workspaces.
- Assist with inventory counts and supply organization.
- Label, sort, and stock approved supplies and materials.
- Assist with meeting setup, employee events, and special projects.
- Support leadership and administrative teams with miscellaneous operational tasks.
Facility & Environmental Support
- Maintain cleanliness and organization throughout designated non-clinical areas of the hospital.
- Clean and organize employee break rooms, refrigerators, microwaves, and common areas.
- Restock approved supplies in administrative and staff areas.
- Wipe down non-clinical surfaces and furniture.
- Empty trash and recycling containers as assigned.
- Assist with special cleaning and organization projects.
- Support hospital housekeeping practices consistent with hospital, AAHA, OSHA, and safety standards under supervision.
Grounds & Exterior Maintenance
- Water flowers and landscaping.
- Pull weeds and assist with light grounds maintenance.
- Maintain a clean and professional appearance of hospital grounds.
- Report facility concerns to leadership.
Professional Appearance & Dress Code
As a representative of Madison Veterinary Specialists, employees in this position are expected to maintain a professional appearance at all times.
Requirements include:
- Wearing approved MVS attire as directed by management.
- Wearing closed-toe, closed-heel shoes appropriate for a healthcare environment.
- Maintaining good personal hygiene and grooming.
- Wearing clothing that is clean, neat, and in good condition.
- Presenting a professional image when interacting with employees, clients, vendors, and visitors.
- Complying with all hospital dress code and safety requirements.
Because this position may involve work in operational and facility areas of the hospital, footwear and attire must be appropriate for maintaining a safe work environment.
Confidentiality Requirements
Due to access to confidential business, employee, client, and patient information, employees in this position must maintain strict confidentiality at all times.
Responsibilities include:
- Protecting confidential client, patient, employee, and business information.
- Complying with all hospital confidentiality, privacy, and information security policies.
- Signing and adhering to all required confidentiality agreements.
- Reporting accidental disclosures or information security concerns immediately.
Access to confidential information is provided solely for legitimate business purposes and does not authorize independent review of medical records, employee files, financial information, or other protected information not directly related to assigned duties.
Unauthorized disclosure of confidential information may result in disciplinary action up to and including termination of employment.
Duties Specifically Excluded from This Position
The Student Operations Assistant may not:
- Handle, restrain, transport, or supervise animals.
- Participate in medical procedures or treatments.
- Administer medications.
- Handle controlled substances.
- Operate radiology equipment.
- Handle needles, sharps, or medical waste.
- Clean kennels, treatment areas, or patient housing areas containing animals.
- Handle biohazardous, infectious, or hazardous waste independently.
- Operate motor vehicles as part of job duties.
- Operate prohibited power-driven machinery or equipment.
- Operate lawn mowers, snow blowers, or other powered grounds equipment if prohibited by applicable child labor laws.
- Work on ladders or scaffolding in excess of child labor law limitations.
- Perform any task prohibited under federal or Wisconsin child labor regulations.

Physical Requirements

- Ability to lift and carry up to 25 pounds with or without reasonable accommodation.
- Ability to bend, kneel, reach, and perform light cleaning activities.
- Ability to work indoors and outdoors as assigned.
Work Schedule & Child Labor Compliance
Work schedules will be assigned based on hospital needs and employee availability and will comply with all applicable federal and Wisconsin child labor laws.
Employees Age 14–15
During the school year (Labor Day through May 31):
- Maximum 3 hours on a school day.
- Maximum 18 hours per week.
- Work permitted between the hours of 7:00 a.m. and 7:00 p.m.
During summer (June 1 through Labor Day):
- Maximum 8 hours per day.
- Maximum 40 hours per week.
- Work permitted between the hours of 7:00 a.m. and 9:00 p.m.
Employees Age 16–17
Wisconsin law generally does not restrict the number of hours or times of day that 16- and 17-year-old employees may work, except where otherwise prohibited by law.
Meal Periods
Employees under age 18 may not work more than six consecutive hours without receiving a duty-free meal period of at least 30 minutes.
Days Worked
Employees under age 18 may not work more than six consecutive days in a workweek.
Work Permits
Any required work permits must be obtained before employment begins. Madison Veterinary Specialists will comply with all applicable state requirements regarding employment of minors.
Compensation & Benefits
Starting Wage: $10.00 - $14.00 per hour
This position is classified as a temporary, part-time, non-benefit eligible position.

Hours are not guaranteed and will vary based on hospital needs, project availability, and employee availability.
Wage increases may be considered based on performance, reliability, initiative, and additional responsibilities and will not follow the regular MVS annual performance merit increase schedule.
