About the Role
Madison Medical Sports & Wellness is seeking an experienced Patient Financial Advocate with a strong sales and relationship-building background to serve as the primary point of contact for patients navigating payment, insurance, out-of-network benefits, hybrid coverage, and cash-pay conversations. This role blends the persuasive, consultative instincts of a top sales professional with the empathy and clarity of a patient advocate — helping patients understand their financial responsibility while building trust and confidence in the value of the care they're receiving.
This is a critical, patient-facing role for an out-of-network practice. The right candidate turns a potentially difficult conversation — deductibles, co-pays, out-of-network benefits — into one that reinforces the patient's confidence in choosing Madison Medical.
Key Responsibilities
- Serve as the primary liaison between patients and the practice on all matters of payment, deductibles, co-pays, and insurance coverage
- Proactively verify out-of-network benefits and provide a clear cost and reimbursement estimate before a patient's first visit — setting expectations up front rather than reviewing coverage after the fact
- Clearly and confidently explain out-of-network benefits, helping patients understand the value proposition of care at Madison Medical despite out-of-network status
- Proactively address financial concerns before they become objections — anticipating questions and reframing conversations around value, quality, and outcomes
- Build long-term trust and rapport with patients, nurturing the relationship so financial conversations strengthen rather than strain it
- Translate complex insurance language, benefit structures, and coverage details into plain terms for patients
- Partner closely with front desk, RCM/billing, and clinical teams to ensure consistent messaging around cost and coverage
- Handle objections with a sales mindset — identifying underlying hesitations and resolving them empathetically
- Track and follow up on outstanding balances and payment plans in a way that preserves the patient relationship
- Maintain up-to-date knowledge of insurance trends, out-of-network reimbursement processes, and competitor positioning
Qualifications
- 10 years of experience in a role combining sales, patient advocacy, insurance navigation, or healthcare financial counseling
- Proven track record of success in a consultative sales environment (healthcare, wellness, or related field strongly preferred)
- Deep working knowledge of insurance structures — deductibles, co-pays, co-insurance, out-of-network benefits and reimbursement
- Demonstrated experience explaining out-of-network reimbursement, UCR (usual, customary, and reasonable) rates, superbills, and the claims submission/appeal process directly to patients in clear, confidence-building terms
- Exceptional interpersonal and communication skills; ability to build rapport quickly and maintain it over time
- Comfortable having direct conversations about money without damaging patient trust
- Strong emotional intelligence — able to read patient concerns and respond with both empathy and confidence
- Experience in a multi-specialty medical, chiropractic, or wellness practice a plus
- High level of professionalism, discretion, and HIPAA/PHI compliance awareness
