Patient Liaison – Multidisciplinary, High-Level Out-of-Network Practice

This role will initially begin as part of our front-end team, supporting patient-facing operations and ensuring exceptional first impressions. As the role progresses, it will evolve into a broader liaison position with expanded responsibilities across our multidisciplinary departments, reflecting both individual growth and the evolving needs of our practice.
We are seeking an experienced Patient Liaison with a proven track record in high-volume, high-touch medical environments — someone who can seamlessly bridge the gap between patients, providers, and insurance navigation while delivering an outstanding patient experience.
Key Responsibilities:
- Coordinate patient scheduling and provider calendars in accordance with established practice guidelines and procedures, ensuring each patient’s needs are met with compassion, flexibility, and efficiency.
- Provide consistent and efficient front desk coverage, including smooth check-in/check-out procedures, verifying patient information, collecting forms, and addressing inquiries with patience and respect.
- Manage patient onboarding, mapping, and follow-up to ensure smooth integration into our multidisciplinary treatment plans.
- Demonstrate kindness, empathy, and professionalism in every patient interaction—recognizing that each encounter contributes to the overall patient experience and the reputation of the organization. Maintain a positive, welcoming demeanor regardless of the situation.
- Evaluate insurance coverage, explain benefits, and present tailored care plans in alignment with our out-of-network model and cash pay initiatives.
- Coordinate referrals from internal and external providers, ensuring timely communication and accurate documentation.
- Maintain accurate and up-to-date EMR documentation and referral tracking in CureMD, ensuring compliance with privacy standards and supporting seamless continuity of care.
- Facilitate clear and timely communication between patients, providers, and staff via MS Outlook, Microsoft Teams, and RingCentral, ensuring all communications are handled with professionalism and sensitivity.
- Utilize organizational tools and platforms—including Outlook, Teams, RingCentral, Izenda, CureMD, and SharePoint—to manage files, maintain accurate records, and promote effective collaboration across the organization.
- Collaborate with medical, administrative, and billing teams to optimize the patient journey.
- Maintain exceptional professionalism and discretion when handling sensitive patient information.
- Proactively track patient engagement, identify opportunities for improved care coordination, and ensure a high retention rate.
- Uphold a calm and solution-oriented attitude, even during high-volume or challenging situations, ensuring patients always feel valued, heard, and cared for.
- Offer versatile support by assisting with various front office duties and playing an essential role in day-to-day operations.
- Demonstrate exceptional verbal and written communication skills, strong interpersonal abilities, and a high level of organization and attention to detail.
Qualifications:
- Minimum 5 years of experience in a patient-facing role within hospitals, high-end private practices, or multidisciplinary medical centers.
- Strong understanding of insurance benefits, out-of-network coverage, and patient financial counseling.
- Proven expertise in patient mapping, referral coordination, and complex care planning.
- Must be able to multi-task in a very fast-paced environment, think outside the box, and work independently.
- Exceptional communication, problem-solving, and interpersonal skills.
- Must have experience with EMR systems (CureMD preferred), Microsoft Office Suite, Teams, and other technology-based platforms.
- High degree of professionalism, organization, and attention to detail.
