About These Positions
Madison Approach Staffing is recruiting on behalf of a regional services organization for two long-term temporary Senior Office Assistant roles. Both roles are fully on-site in Yorktown Heights. Candidates with strong administrative skills, comfort working in an educational or government environment, and a high degree of discretion are encouraged to apply.

Key Responsibilities
  1. Perform general administrative and clerical functions including data entry, filing, correspondence, and records management
  2. Process purchase orders, billing, and contracts; track documentation for departmental programs and services
  3. Manage shared email inboxes, phone communications, and scheduling/calendar coordination for staff and stakeholders
  4. Support department staff, consultants, and district partners by responding to requests and coordinating follow-through
  5. Enter and maintain accurate data across multiple platforms with attention to detail and confidentiality
  6. Organize and manage digital and physical files to ensure efficient access for all stakeholders
  7. Monitor registrations, district approvals, and cross-contract processing
  8. Assist with regional workshops and events: preparation of materials, attendance tracking, and consultant support
  9. Assist with regional test distribution, including inventorying and distributing state exams as needed
Required Qualifications
  1. Highly organized and self-directed, with the ability to multitask and manage competing priorities independently
  2. Strong attention to detail and numerical accuracy; experienced with data entry and database maintenance
  3. Proficient in Microsoft Word, Excel, and Outlook; familiarity with Zoom and Adobe Acrobat preferred
  4. Experience with WinCap a plus; willingness to learn new systems required
  5. Professional communication skills — written and verbal — for interaction with district representatives, consultants, and the public
  6. Ability to handle sensitive information with appropriate discretion and confidentiality
  7. Positive, flexible, can-do attitude; committed to supporting a service- and mission-driven environment
  8. Bilingual candidates (English/Spanish) are encouraged to apply
