Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, and general administrative support
- Supervise administrative staff and coordinate training & development initiatives to enhance team performance
- Manage scheduling and calendar coordination for meetings, appointments, and company events
- Handle vendor management by negotiating contracts, processing invoices, and maintaining supplier relationships
- Oversee bookkeeping, budgeting, payroll processing using QuickBooks, and ensure accurate financial record-keeping
- Coordinate event planning activities such as staff meetings, company celebrations, and community outreach events
- Maintain organized filing systems, manage document retention policies, and ensure compliance with confidentiality standards
- Support human resources functions including onboarding new employees, managing HR documentation, and assisting with employee relations
Requirements
- Proven experience in office management or administrative roles with supervisory responsibilities
- Strong proficiency in QuickBooks for bookkeeping and payroll processing
- Excellent organizational skills with the ability to manage multiple priorities efficiently
- Effective communication skills with professional phone etiquette and customer service orientation
- Experience with vendor management, budgeting, and basic bookkeeping practices
- AIA billing and other construction billing
- Familiarity with clerical tasks such as filing, data entry, and front desk operations
- Ability to lead training sessions and foster team development initiatives
- Demonstrated ability to handle scheduling management and calendar coordination effectively
